Job Description
What you’ll be doing
- Health and Safety – Act as the central point of contact for all Health and Safety aspects, ensuring compliance with regulations and maintaining relationships with external H&S advisors. Keep \'Smartsheet\' updated across the network.
- Conduct regular walkarounds/calls with Area Managers/Homeworking managers to ensure compliance across Head Office, Retail, and Homeworking networks. Ensure staff complete required Health and Safety modules on IHASCO portal.
- Maintain accurate lists of Fire Marshalls and First Aiders, scheduling refresher courses as needed.
- Portfolio Management – Lead retail store openings and closures, coordinating with internal and external stakeholders including project teams, designers, architects, and shop fitters.
- Assist with lease queries and liaise with property advisors regarding lease issues within the retail network.
- Maintenance – Keep logs of maintenance needs, coordinate with suppliers, and respond to ad-hoc requests for timely contractor visits.
- Office Management – Manage office operations, including events, space planning, sub-tenant management, and daily opening procedures. Supervise DHL and Royal Mail portals for deliveries.
- Contract/Supplier Management – Review maintenance and utility providers regularly to ensure value and standards.
- Budgeting – Manage property maintenance budgets, review invoices, and work with the Purchase Ledger team. Maintain stock levels for refreshments and stationery.
- Compliance – Maintain records for energy reporting (ESOS, SECR, Group Reporting) and liaise with third parties for data collection.
- General Facilities Management – Manage facilities mailbox for queries.
