The Role

This is a varied, multi‑skilled operational role at the heart of our Autism Service. As a Patient Services Coordinator, you will support all core operational functions — from managing referrals and handling enquiries, to coordinating appointments, processing reports, and supporting GP relations. You will rotate across different workstreams within the team, helping to ensure a resilient, flexible service and a consistently excellent patient experience. • Coordinating patient pathways from referral through to assessment and reporting
    • Resolving scheduling conflicts and delays proactively
    • Processing referrals, risk screenings and appointment bookings efficiently
  • Patient Support & Communication
    • Acting as a non‑clinical first point of contact for patients, families and referrers
    • Handling enquiries with sensitivity, professionalism and empathy
    • Maintaining accurate, up‑to‑date patient records
    • Supporting the collection and escalation of patient feedback
  • Operational & Administrative Support
    • Providing day‑to‑day administrative support across the Autism Service
    • Supporting clinicians with scheduling, documentation and logistics
    • Working collaboratively within a respectful, supportive team environment
  • Clinical Governance & Compliance
    • Ensuring records meet CQC, Safeguarding, GDPR and internal governance standards
    • Supporting audits, quality assurance and compliance tasks
    • Reporting incidents accurately and promptly in line with policy
  • Systems, Data & Continuous Improvement
    • Using systems such as Semble for patient management and scheduling
    • Maintaining accurate databases and operational records
    • Collating and processing data for performance reporting (waiting times, pathway metrics, outcomes)
    • Identifying opportunities to improve workflows and patient experience

What We’re Looking For

  • Highly organised with excellent attention to detail
  • Confident managing schedules, systems and competing priorities
  • A clear, compassionate and professional communicator
  • Comfortable working across multiple operational functions
  • Committed to safeguarding, confidentiality and service quality
  • A collaborative team player who supports colleagues during busy periods
  • Confident using Microsoft Office and digital scheduling systems
  • Knowledgeable about GDPR, Data Protection and Safeguarding responsibilities
  • Previous experience in healthcare, clinical administration, patient coordination or a similar operational role would be highly beneficial

Why Join KT Healthcare?
