Role Overview
We are seeking a versatile and proactive Property Asset Manager/Administrator to join our team in Cardiff. This dual-role position combines strategic property asset management with comprehensive administrative support across legal, property operations, and general business functions. The successful candidate will work in a part-time on-site or hybrid capacity, with flexibility based on business needs.
Key Responsibilities
Property Asset Management
- Oversee property management and lease administration across our diverse portfolio
- Handle commercial real estate matters and lease management
- Manage budgeting and financial planning for property assets
- Conduct property analysis and strategic planning
Legal & Administrative Support
- Act as primary point of contact for external legal professionals.
- Coordinate legal document handling, filing, and responses
- Support communication and scheduling between internal teams and legal service providers
- Manage property and legal insurance claims and maintain comprehensive documentation
Property & Contractor Management
- Liaise with contractors for maintenance, repairs, inspections, and renovations
- Monitor ongoing works to ensure completion on time and within budget
- Manage property documentation, keys, access arrangements, and tenant communications
- Maintain records of tenant leases, renewals, rent reviews, and legal compliance
Operational Administration
- Assist with recruitment processes, including job postings, CV filtering, and interview coordination
- Keep track of insurance policies, renewals, and critical deadlines
- Perform general administrative tasks including filing, correspondence, scheduling, and record maintenance
Essential Qualifications & Skills
- Property Management and Lease Administration experience
- Experience in Commercial Real Estate and Leases
- Strong budgeting and analytical skills
- Prior experience in legal, property, or office administration
- Excellent communication and negotiation abilities
- Strong attention to detail and organizational skills
- Knowledge of property laws and regulations
- Proficiency in Microsoft Office (Word, Excel, Outlook) and online systems
- Ability to manage multiple tasks and deadlines independently
Preferred Qualifications
- RICS Chartered Surveyor qualification highly desirable
- 5+ years of Real Estate experience
- Legal background or specialized property management experience
- Familiarity with legal and property terminology
