The Event Coordinator role at Kroll demands an experienced professional with a proven track record of delivering a variety of different types of events both internally and externally—including budget management. The role requires strong interpersonal skills to communicate with stakeholders, vendors, and clients, and plans the event from start to finish according to the event brief, ensuring customer satisfaction from the target audience.

Responsibilities

  • Planning events from start to finish according to event brief.
  • Liaising with client to understand event objective.
  • Preparing event scope and budget requirements.
  • Resourcing support, monitoring, and evaluation of staff.
  • Sourcing and negotiating with venues, suppliers, and vendors.
  • Coordination of all operations including equipment, catering, theme, dĂŠcor, entertainment, and promotional activities for the event.
  • Management of AV and technical requirements.
  • Sourcing keynote speakers if required.
  • Identification of host and VIP attendees.
  • Managing registration of the event and communication with stakeholders and attendees.
  • Managing specific attendees' requirements (dietary, medical needs etc.).
  • Managing travel and accommodation if required in accordance with global travel policy.
  • Ensuring compliance with Kroll's health and safety regulations, company insurance, and providing relevant risk assessments.
  • Planning and managing events' calendar.
  • Managing event materials, merchandise, and giveaways.
  • Analysis post event of customer's satisfaction.
  • Reconciling final accounts.

Requirements

  • 2 to 5 years of experience in event management and strong project management skills.
  • Creating event briefs and detailed proposals.
  • Experience sourcing and communicating with suppliers and vendors directly.
  • Knowledge of London venues and research skills.
  • Experience with RFPs.
  • Confident in managing budgets and event forecasts.
  • Problem solution—e.g., COVID—impacting event delivery, ensuring safety of attendees, minimizing financial risk.
  • Exceptional time management and organizational skills.
  • Ability to anticipate needs, prioritize, and meet deadlines.
  • Excellent verbal and written communication skills.
  • Good understanding of AV and production.
  • Advanced knowledge of Microsoft products.
  • High level of interpersonal skills and ability to communicate at all levels.
  • Proactive and creative mindset.
  • Strong attention to detail and high level of integrity.
  • Experience in overseeing budgets and expenses.
  • Excellent time‐management skills and an ability to organize and coordinate multiple concurrent projects, staying calm under pressure.
