We are currently recruiting for an Office Administration Manager to work as part of a small team, supporting the Operations Manager and General Manager. The role will be responsible for the management of administration within the office and picking up some operational client‐facing duties. The role is site‐based with parking available on site, and excellent public transport connections in the DE22 area of Derby.

This is a great step for someone moving forward from an Administration role into operations, a fantastic stepping stone into management. The role is also open to graduates with strong Microsoft Office skills who are interested in working in the FM sector.

This role requires a lot of self‐management and is suited to someone who is very proactive and driven with good communication skills, and who will take ownership of the workload.

Responsibilities:
  • Managing incoming and outgoing communications and assisting with the diaries of the management team.
  • Taking minutes at team meetings with accuracy.
  • Compiling and delivering high‐level reports for the board.
  • Managing all office records and filing systems, both electronic and paper‐based.
  • Organising and coordinating all meetings required to advance the project, including internal meetings, subcontractor meetings, and client committees.
  • Undertaking site reviews.
  • Diary management for the General Manager.
  • Supporting the delivery of the project agreement by maintaining finance and contract documents, including assisting with legal claims and ensuring correct procedures are adhered to.
  • Running health and safety reports.
Desired skills & experience:
  • Strong note‐taking skills – accurate and quick.
  • Short‐hand is desirable but not essential.
  • Strong report‐writing skills.
  • Excellent written and presentational skills, including computer literacy with Microsoft Office, PDF Manager, and ideally SharePoint (desirable).
  • Ability to work to deadlines and prioritise accordingly.
  • Attention to detail and an orderly way of working.
