The role is responsible for coordinating the efficient movement of stock from international and domestic suppliers into the UK distribution centre and onward to stores based on operational priorities, demand, availability, and commercial requirements. The role supports the end-to-end retail supply chain by managing shipment visibility, warehouse coordination, stock allocation, replenishment activity, and cross-functional operational communication to help maximise stock availability, reduce delays, and support store performance.

1. Import, Logistics & Shipment Coordination

  • Coordinate inbound supply chain operations to ensure products are imported, received, and processed efficiently into the UK distribution network.
  • Track inbound containers, shipments, and supplier deliveries from origin through to warehouse receipt.
  • Liaise with freight forwarders, customs agents, shipping providers, and warehouse partners.
  • Monitor shipment timelines and proactively escalate delays, shortages, or operational risks.
  • Ensure import and shipment documentation is accurate and complete.
  • Support smooth customs clearance and inbound logistics coordination.
  • Work with local suppliers to ensure compliance on deliveries into the DC.
  • Maintain shipment visibility reports and inbound delivery schedules.
  • Coordinate with suppliers and internal stakeholders regarding delivery expectations.
  • Support cost-efficient movement of goods while maintaining operational service levels.

2. Stock Allocation, Replenishment & Distribution

  • Support the effective allocation and replenishment of stock across stores to maximise product availability and operational efficiency.
  • Support replenishment planning and warehouse-to-store distribution activity.
  • Coordinate inter-store transfers and stock balancing where required.
  • Work closely with Store Operations and warehouse teams to resolve stock-related issues and manage SLAs.
  • Help minimise stock shortages, overstock situations, and distribution inefficiencies.
  • Support seasonal launches, promotional activity, and new store openings through effective stock coordination.
  • Monitor dispatch performance and support resolution of delivery issues.
  • Assist the DC with prioritisation of allocations depending on the seasonality and need.

3. Supply Chain Reporting, Analysis & Operational Control

  • Provide operational visibility and analytical support to improve supply chain performance, decision-making, and stock control.
  • Produce regular reports relating to shipments, stock allocation, replenishment, and distribution performance.
  • Monitor stock movement trends and identify operational concerns or improvement opportunities.
  • Support inventory accuracy and supply chain data integrity.
  • Track key operational metrics such as availability, delivery timelines, and stock flow.
  • Maintain accurate supply chain records, trackers, and operational updates.
  • Support root cause analysis relating to delays, shortages, or supply chain inefficiencies.
  • Help improve operational processes, reporting structures, and visibility across the supply chain.

4. Cross-Functional Collaboration & Operational Support

  • Support strong operational collaboration across departments to ensure the supply chain effectively supports retail performance and business growth.
  • Work closely with Operations, Retail, Warehouse, Finance, Buying, Marketing and Merchandising teams.
  • Support communication between stores and central operations regarding stock and delivery matters.
  • Assist in resolving day-to-day operational supply chain challenges quickly and professionally.
  • Support implementation of new operational processes and supply chain improvements.
  • Help maintain high levels of responsiveness, organisation, and operational discipline.
  • Participate in supply chain meetings, operational reviews, and planning discussions.
  • Build strong working relationships with both internal and external stakeholders.
  • Support wider business initiatives requiring supply chain or distribution coordination.

Key Skills & Experience

  • Experience within retail, logistics, distribution, warehouse, or supply chain operations.
  • Strong organisational and coordination capability.
  • Good Excel and reporting skills.
  • Ability to manage multiple operational priorities simultaneously.
  • Strong communication and stakeholder coordination skills.
  • High attention to detail and operational accuracy.
  • Ability to work in a fast-paced retail environment.
