We have a really fantastic Senior Executive Assistant role within an Investment firm, based on the Strand, London. Our client is looking for someone who will be an excellent, collaborative team member in the London office of a global Investment firm.

You must have 7+ years of executive level administrative support experience, including complex diary and travel across multiple timezones and document preparation and binding. The role is varied and they want someone who really loves what they do. You will need to take ownership of your tasks, provide excellent support for 1 Senior Executive and ad hoc tasks for their team.

There are 2 other Administrative Assistants within the London office and they all thoroughly enjoy working there. It's an exciting time of growth in a really well established firm, a lovely environment, they work hard and you will be really looked after.

Responsibilities:
  • Extensive international travel coordination across multiple timezones (including car service and detailed agenda preparation), focusing on quality of travel experience as well as cost savings.
  • Process travel expense reports through Concur, check requests and corporate credit card statements.
  • Complex calendar management and scheduling.
  • Answer, screen and take accurate telephone messages.
  • Organise meetings including conference room reservation, AV and catering (for internal and external meetings).
  • Excellent writing skills to be used in preparation of correspondence and materials, e.g. memos, letters, and emails; editing and proofreading documents; scanning, saving and emailing such documents in readable format.
  • PowerPoint presentation and Excel workbook preparation and verification. Docu-sign preparation and Adobe Acrobat fluency.
  • Salesforce CRM data entry and update responsibilities.
  • Manage all incoming and outgoing correspondence (email and standard mail); experience in the coordination of delivery via Federal Express, UPS, courier, and or the USPS of multiple mailings and shipments is essential.
  • Promptly and efficiently screen, respond to and direct inquiries in a professional and polite manner.
  • Create and maintain accurate files (computerised/paper/desk) and a neat work area conducive to productivity.
  • Backup administrative coverage either as scheduled or on an as needed basis.
  • Ad hoc duties as assigned.

Base salary c. £70,000 (depending on experience and salary history). This role is situated full time in the office.
