Position Overview
Location: London Office (Holborn). In Office required, not a remote position
Schedule: Full time (core hours: Monday-Friday, 8:00 am-4:30 pm; occasional communication outside these hours may be required)

In this fast-moving, high-energy role, you will work closely with senior leadership and key stakeholders, supporting scheduling, travel, and day-to-day operations while proactively taking on tasks that drive productivity and keep the business running smoothly. You'll thrive in a dynamic environment where priorities can shift quickly and initiative is highly valued. The ideal candidate will have prior PA experience, be able to hit the ground running, and bring exceptional organisation, confidence, and adaptability. You'll be eager to learn, comfortable working at pace, and motivated to grow into an Executive Assistant (EA) role as the company scales.
Key Responsibilities
- Executive Communication Management: Serve as the primary point of contact for internal and external stakeholders, managing emails, calls, and requests with discretion and professionalism.
- Strategic Project Support: Assist with high-priority projects, research, and executive briefings, providing actionable insights to inform leadership decisions.
- Travel & Expense Oversight: Manage complex travel arrangements, itineraries, and expense reporting, ensuring accuracy and efficiency.
- Meeting & Event Leadership: Organise and coordinate high-level meetings, board sessions, and executive events, overseeing logistics and follow-ups.
- Action & Priority Tracking: Maintain oversight of CEO action items and initiatives, ensuring accountability and timely completion across teams.
- Ad Hoc Executive Support: Provide flexible support for urgent or evolving priorities in a fast-paced, high-growth environment.
While approximately 70% of your role focuses on supporting the CEO, the remaining 30% involves general office management tasks, including:
- Oversee day-to-day office operations: Maintain a clean, organised, and fully stocked office environment, supporting a productive workspace for the whole team.
- Organise team events and meetings: Support the planning and execution of meetings, team socials, and special events including logistics, catering, and setup.
- Assist with general admin and documentation: Handle record-keeping, data entry, and ad hoc administrative tasks to help streamline team processes and improve efficiency.
Frequent Travel Expectations: Although the job is primarily based in Central London, candidates must have the flexibility for both international travel and on-site work commitments. Travel may be required regularly, overnight, and on short notice for industry events, client meetings, as well as potential extended periods working from our West London warehouse.
Team Collaboration & Flexibility: As part of a small and dynamic team, there will be occasional opportunities to assist with activities outside of core responsibilities, such as helping with store openings, supporting team events, or assisting with ad-hoc projects. While these tasks are optional, we really value a collaborative spirit and the willingness to step in and support each other when needed.
Who We're Looking For
- Proven experience as a Personal Assistant to CEO (3 years +) ideally within Retail/Hospitality/Start up fast growing
- Strong organisational and multitasking skills, with a proactive and problem-solving mindset.
- Excellent written and verbal communication skills.
- Professionalism and discretion, especially when handling confidential information.
- Ability to work autonomously and collaborate effectively with various team members.
- Proficiency with Microsoft Office Suite, Google Workspace, and calendar management tools.
- An interest in beauty is a plus!
