KONE has an exciting opportunity for a People & Communications Administrator to join our Working Office team.

About the role

As a People & Communications Administrator, you'll be a key point of contact for employees and colleagues across KONE, helping to ensure our HR processes run smoothly and providing a high-quality employee experience.

You’ll work closely with the wider P&C team, HR Business Partners and our global HR support teams, handling a varied workload and managing confidential information with professionalism and discretion.

What you’ll be doing

  • Monitor the HR mailbox and respond to employee queries, ensuring questions are handled accurately and within agreed timescales
  • Maintain accurate and confidential employee records and HR data within Workday, our global HR system
  • Ensure HR processes and procedures are followed consistently and in line with KONE requirements
  • Coordinate health and background checks for new hires
  • Prepare leaver reports and documentation and distribute information to relevant third parties
  • Review contractual change letters and ensure any errors are identified and corrected
  • Provide day‑to‑day administrative support to People & Communications Business Partners
  • Process and manage HR‑related invoices
  • Coordinate enhanced DBS checks
  • Manage PDI applications and follow‑ups
  • Request and distribute hard‑copy NVQ certificates to employees
  • Maintain and update absence information in Workday
  • Coordinate Cycle to Work approvals, including ensuring approved applications are submitted to Payroll each month
  • Support the administration of Death in Service cases with care and confidentiality
  • Report company car and mobile phone activity to our third‑party provider
  • Maintain the KONE intranet and ensure HR policies and information remain accurate and up to date
  • Produce and maintain a range of weekly HR reports
  • Track international and European employee visas and provide quarterly updates to HR Business Partners
  • Complete quarterly data and payroll reconciliations between Workday and Payroll, working with ASK HR and HR Business Partners to resolve discrepancies
  • Support other ad hoc People & Communications activities and projects as required

We're looking for someone who is organised, reliable and proactive, with strong attention to detail and the ability to manage competing priorities.

You’ll ideally bring:

  • Proven experience in an administrative role; HR administration experience is highly desirable
  • Basic knowledge of HR practices and UK employment legislation is advantageous, but not essential
  • Experience using HR systems; Workday experience would be a bonus
  • Strong attention to detail and a commitment to maintaining accurate data
  • The ability to manage multiple tasks and priorities in a fast‑paced environment while meeting deadlines
  • Excellent written and verbal communication skills in English
  • The ability to handle sensitive and confidential information with discretion
  • Good working knowledge of Microsoft Office, particularly Excel; intermediate Excel skills are desirable
  • Experience with Mail Merge is advantageous
  • A proactive, collaborative approach and the ability to work effectively as part of a team
