Working as a key point of contact for the operational field team taking responsibility to effectively manage and coordinate the diaries and work orders of the engineers and contractors booking in their repairs across the country. Raise purchase orders for relevant parts and allocate any local stock as required. Creating, checking, and loading work orders to the Microsoft Outlook diaries for all Kompan Engineers whilst ensuring maximum efficiency wherever possible. Raising POs with subcontractors along with SOW and RAMS, ensuring dates are booked in. Checking work completions from the engineers/subcontractors and forwarding to the customers and relevant members. Invoicing following completion of works. Works simultaneously on multiple projects, balancing workload and communicating when support is needed to ensure deadlines are met. Dealing with the engineers/subcontractors on the phone regarding any queries on the work orders. Maintaining and checking tracker data. Route planning. Holiday cover for other office-based members of the aftersales team. Arranging couriers/shipping of parts to engineers. Liaison with senior management is also required. Ensuring accurate information is regularly available for forecasting purposes. To summarise the works required to a concise scope of works, from many different information sources (customer email enquiries, inspection reports, ASMs). To ensure RAMS are issued to all works delivered by aftersales through subcontractors.
Experience and personal attributes:
- Experience of working in a support role, as office-based support to field-based engineers working in practical roles.
- Experience working and organising remote engineers.
- Good geographical knowledge and use of planning tools, Google Maps, trackers etc.
- Proven capability of multi-tasking and working to multiple fixed deadlines.
- Competent in checking work ordered, ensuring parts have arrived and effective planning of small repair works, excellent attention to detail is required.
- Experience in Word, Excel, Microsoft Suite, and an ERP system.
- Experience of working within a construction, maintenance or service engineers’ business may be an advantage, but training will be given to the right candidate.
