This is a paid internship. KPF seeks a proactive, enthusiastic and competent HR Intern to assist our HR team during their busiest period. Reporting to the London HR Business Partner and working directly with the HR Generalist, the ideal candidate will be self-motivated, adaptable and able to work to deadlines. Further to this they will need to work diligently to provide HR and administrative support for our recruitment processes.

Responsibilities include but are not limited to:

  • Undertake duties supporting the recruitment of both architectural and non-architectural staff; liaise with recruiters; screen candidates within HRIS (Workday); organise interviews; chase references; liaise with candidates and Managers post interview.
  • Assist the HR Generalist with the onboarding process for new employees, including setting up new joiner inductions with internal teams (IT, Accounting, Design Technology).
  • Assist the HR Generalist in organising and conducting first day inductions for new joiners.
  • Maintenance of HRIS, including data entry and updating employee information.
  • Assist with the office-wide seating plan and arrange necessary moves, coordinating with relevant teams, IT and Facilities.
  • Assist the HR team with visa/immigration processes.
  • Assist in processing and tracking employee benefit applications, including private medical and dental insurance, cycle scheme, season ticket loans and pension plan.
  • Answer questions from applicants and employees relative to company policies, benefits, hiring processes, references etc. refers more complex questions to the HR Business Partner.
  • Provide accurate employee reports, including (but not limited to), sickness absence, holiday accruals, and years of experience.
  • Assist in the coordination of probation and end of contract reviews.
  • Ensure compliance with GDPR and other HR policies.
  • Coordination of work experience programme.

Person specification:

This role is best suited to a recent graduate or current higher education student, looking for an opportunity to begin a career within HR.

  • Ability to maintain confidentiality at all times.
  • Excellent administration skills and keen attention to detail.
  • Excellent presentation and communication skills, both verbal and written.
  • Strong organisational skills.
  • An excellent working knowledge of Microsoft Office products (Word, Excel and PowerPoint) and Adobe Suite (PDF).
  • Ability to prioritise, work under pressure and to meet strict deadlines.
  • Good numeracy skills.
  • Ability to work independently on own initiative and also to contribute as part of a team.
  • Willingness and ability to be flexible.
  • Ability to get on well with a wide variety of people confidently and professionally.
