Compliance Administrator Purpose

Reporting to the Quality & Compliance Manager, the Compliance Administrator provides administrative and coordination support to the Quality & Compliance function.

The role supports the effective management of compliance records, documentation, audit activities, supplier compliance information, and reporting processes, ensuring that information is accurate, up to date, and readily available to support business compliance obligations and quality requirements.

The role works closely with internal stakeholders to maintain consistency, accuracy, and control across compliance and quality administration activities.

Responsibilities / Key Deliverables

  • Compliance Records & Document Control
  • Maintain compliance records, registers, trackers, and controlled documentation to ensure information remains accurate, current, and accessible.
  • Support document control processes including version management, approvals, filing, retention, and record maintenance in line with established procedures.
  • Audit Coordination Support
  • Support internal and external audit activities through the organisation and maintenance of audit documentation, evidence records, schedules, action logs, and related administration.
  • Assist in ensuring information is readily available to support audit preparation and follow‑up activities.
  • Supplier Compliance Administration
  • Maintain supplier compliance records and coordinate the collection of required documentation from suppliers and internal stakeholders.
  • Monitor outstanding actions and support timely completion of compliance requirements.
  • Compliance & Quality Reporting Support
  • Maintain compliance and quality trackers, registers, and routine reports to support monitoring, reporting, and governance requirements.
  • Ensure data accuracy and consistency within reporting tools and supporting records.
  • Corrective Action & Non‑Conformance Administration
  • Support non‑conformance and corrective action processes by recording issues, maintaining action logs, monitoring progress, and following up with stakeholders to support timely closure of agreed actions.
  • Administrative & Stakeholder Coordination
  • Provide general administrative support to the Quality & Compliance function, including coordinating meetings, maintaining records, tracking actions, managing deadlines, and supporting communication activities across the business.
  • Quality Administration Support
  • Provide secondary support for quality administration activities, maintaining quality documentation, controlled records, and associated administrative processes to support the wider Quality & Compliance function.

Qualifications, Skills & Experience

  • Graduate or early‑career professional with an interest in compliance, quality, administration, or business operations
  • Strong attention to detail and commitment to data accuracy
  • Well organised, with the ability to manage multiple priorities and deadlines
  • Strong written and verbal communication skills
  • Competent in Microsoft Office applications, including Word, Excel, and Outlook
  • Comfortable working with documentation, records, trackers, and reporting tools
  • Able to work collaboratively with stakeholders across multiple business functions
  • Experience gained through internships, placements, administrative roles, or compliance‑related activities is desirable
  • Dimension of the Role

Reporting to the Quality & Compliance Manager and based primarily from the production site at Birstall, the Compliance Administrator supports the effective operation of the Quality & Compliance function through the maintenance of records, documentation, reporting and audit administration processes.

The role works closely with Operations, Design, Supply Chain, Sustainability, and other business stakeholders to ensure compliance information is accurate, organised and available when required.

The role is accountable for the timely administration of compliance records, coordination of routine compliance activities, and reliable support of audit, reporting and quality processes while developing knowledge and experience within a compliance‑led environment.
