Job Responsibilities Phone Management * Promptly and courteously answering all incoming phone calls. * Taking detailed messages and directing them to the appropriate person or department. Vehicle Administration * Monitoring insurance-related matters, including tracking accidents and claims while liaising with the legal team. * Managing insurance updates, including adjustments to the MID and Denovo for both vehicles and individuals. * Ensuring MOT and tax renewals are completed on time and booking MOTs/payments as required. * Overseeing Lorry PMI checks to maintain compliance with VOSA. * Scheduling vehicle servicing and repairs as needed. * Keeping track of weekly TBTs for the forklift in the yard. * Managing the entire vehicle fleet. * Conducting quarterly vehicle damage assessments. Health & Safety Compliance * Tracking and filing Toolbox Talks within SharePoint and maintaining hard copies. * Organizing separate site folders for each Toolbox Talk. * Providing administrative support for health and safety matters. Social Media Management * Creating and posting content across various social media platforms. * Growing the company’s online presence by increasing followers and reach. * Engaging with users to enhance interaction and visibility. Recruitment Support * Posting job advertisements on Indeed. * Coordinating with recruiters for temporary site staff. General Administrative Support * Managing payments for parking. * Booking travel arrangements when necessary. * Overseeing office supply inventory and replenishment. * Handling any additional tasks as required
