Job Description

A very collaborative and friendly Family Office based in West London is looking for a numerate Personal Assistant for their exceptionally appreciative and personable Chief of Staff, and to support the Trustees of their significant charitable foundation.

  • Provide holiday cover for the Personal Assistant to the Principals
  • \\n\\t

  • Assist with preparations for events which may be taking place at the family’s properties or elsewhere
  • \\n\\t

  • Support the Chief of Staff with inputting payment details and maintaining appropriate records of payments made on QuickBooks
  • \\n\\t

  • Assist the Chief of Staff with spot-checking staff expenses and credit card receipts
  • \\n\\t

  • Other ad hoc errands and support to the Chief of Staff and Principals, as required
  • \\n\\t

  • Run errands for the Principals, which might include (but not limited to) shopping, gift buying, deliveries and collections
  • \\n

The Foundation

  • \\n\\t

    Responsible for the Trustees' travel arrangements for Board meetings and other meetings

  • \\n\\t

  • Coordinate logistics for the Trustee trips (which take place once or twice a year), including accommodation and travel arrangements
  • \\n\\t

  • Organise away days, trips and celebrations for the staff team (e.g. annual away day, Christmas party)
  • \\n\\t

  • Support the Grants Manager with printing and distributing meeting materials; and
  • \\n\\t

  • Monitor the general mailbox and direct queries to the required recipient.
  • \\n

  • Act as Front of House at the office – answer the door, welcome guests and take deliveries
  • \\n\\t

  • Manage and maintain the calendar for the large meeting room, which is shared between entities
  • \\n\\t

  • Responsible for fruit and milk deliveries
  • \\n\\t

  • Prepare tea, coffee, chilled water and refreshments for meetings taking place at the office in the office.

The right candidate will have at least 4/5 years as a Team Assistant or PA and be numerate, able to input payments and maintain records of payments made on QuickBooks
