A highly profiled and iconic luxury interior design company based in SW London is seeking an upbeat, agile, and positive Studio Coordinator to join its friendly and inclusive team. You would be the cog that keeps the wheels turning. This is a very varied, busy and important role for them.

The ideal candidate will have experience working in an interior design business or another creative studio.

Outline Summary of the role – lots of opportunity for progression and to grow the role:
  • Liaise and coordinate with the Head of Interiors and other Senior Members of the team on general management within the Studio.
  • Work with the Head of Interiors and Senior Team members, assisting with team planning and delegation of project duties.
  • Oversee that the correct procedures are followed for documentation/email correspondence and electronic filing.
  • Ensure the weekly design pulse is prepared for weekly design meetings, ensuring all relevant project information is included and accurate.
  • Work with the Senior Management team to contribute to the written standards and control procedures for the design team.
  • Assist the Senior Management team with administrative requests when preparing Design Fee Proposals for Clients.
  • Work with the Senior team to ensure project management software is accurate, running smoothly and maximising its capacity within the studio.
  • Input new design projects into project management software, setting up all administrative elements of projects, including project numbers, client details, and the design team allocated.
  • Assist with timesheet collation and approvals.
  • Prepare and deliver the induction pack for new starters within the Design Studio - setting up desks, welcome and induction, software training, all IT requirements, and organising any additional training and handover with other members of the team.
  • Ensure that any documents issued are of the brand format and standard.
  • Keep all employee sickness and annual leave updated within the design studio.
  • Assist with the preparation of client financial correspondence (request for payments, receipt of funds, monthly fees and expenses, balance invoices and statements) for the Senior Management to review and approve, following all relevant procedures and filing systems.
  • Keep the Design Pulse updated weekly for Design Studio Meetings.
  • Ensure that the building is in order – light bulbs, the meeting rooms are clear and tidy, and desks and common areas are tidy and deal with maintenance issues.
  • Manage stock and order stationery where necessary for the Design Studio.
  • Prepare meeting room for client meetings, ensuring all clients and visitors to the studio are greeted and looked after with drinks, etc.
  • Assist the Head of Interiors with all general administrative duties which ensure the smooth day-to-day running of the Design Studio.
Candidate:
  • Experience in a similar creative environment, Studio Manager/Coordinator in interior design or a creative studio.
  • Bright, willing, muck-in, smiley.
  • Good grammar is essential.
  • Interested in the industry but not wanting a foot in the door to be an interior designer.
