My very busy and respectful UHNW client is looking for a Chief of Staff to join their friendly Private Family Office based in West London. The office also houses its large charitable foundation. The Chief of Staff manages staff at the family’s properties in the UK and abroad, and manages the family office team, including the Finance Manager, PAs, Property Manager, the Head of IT and the administrator. The Chief of Staff ensures compliance with all legal and regulatory requirements and manages inventories and archives.

The varied responsibilities of this role include:

  • HR, recruitment, security, property and estate management, property acquisitions, sales and lettings and liaising with family advisers.

Team management:

  • Oversee and coordinate the Family Office team and household staff across multiple properties, ensuring clear communication and accountability across the team.
  • Lead HR and recruitment processes, ensuring full compliance with employer obligations; manage end-to-end hiring, onboarding, and offboarding; and administer staff records, holiday, and leave tracking.

Manage and coordinate key projects and transactions (including property acquisitions, disposals, and restructurings), acting as the central point of contact for legal, tax, and other professional advisors; proactively identify when external advice is required and distil complex guidance into clear, concise summaries for the Principals.

Maintain comprehensive and well-structured electronic records, document management systems, inventories, and archives, ensuring accuracy, accessibility, and appropriate data governance across the Family Office.

Oversee and coordinate security and cybersecurity initiatives in collaboration with third-party providers, ensuring robust, up-to-date protection of family, staff, properties, and sensitive information.

Oversee responses to due diligence and KYC requests, ensuring accuracy, timeliness, and completeness, while maintaining ongoing compliance with all relevant legal and regulatory requirements.
