We are working with a prestigious, dynamic and forward-thinking property firm to appoint an experienced Lettings Coordinator to join a busy and successful team.
This is a varied and hands-on role supporting the smooth running of the lettings operation.
You’ll play an important part in ensuring landlords, tenants and applicants receive a professional, efficient and consistently high level of service.
The role
You’ll be responsible for coordinating the lettings process from initial landlord onboarding and compliance through to marketing and preparation for move-in.
Working closely with colleagues, clients and external suppliers, you’ll ensure properties are accurately presented, documentation is complete and processes are followed correctly.
- Coordinating landlord onboarding, paperwork and compliance checks prior to marketing.
- Creating and maintaining accurate property records and details on internal systems.
- Ensuring properties meet relevant compliance, AML and legislative requirements.
- Liaising with property management and deal progression teams to ensure all documentation is in place ahead of move-in.
- Supporting internal and external audit preparation.
- Preparing market appraisal and remarketing documentation.
- Coordinating photography, floorplans, EPCs and other property marketing requirements.
- Producing professional property brochures and marketing materials.
- Supporting rental evaluations and preparing properties for remarketing.
- Handling incoming calls and enquiries professionally and efficiently.
- Providing timely feedback to landlords, tenants and applicants following viewings.
- Delivering excellent client and applicant care in line with company procedures.
- Processing invoices and coordinating payments.
- Organising meetings, calls and meeting rooms.
- Recording and submitting expenses as required.
About you
- We’re looking for someone who is organised, proactive and comfortable working in a fast-paced environment.
You’ll have excellent attention to detail and be confident managing multiple priorities while maintaining a high standard of customer service.
• Ideally, you’ll have
- At least one year’s experience in an administrative role.
- Strong IT skills, including Microsoft Office.
- Excellent written and verbal communication skills.
- Strong organisational and prioritisation abilities.
- Excellent attention to detail and accuracy.
- A professional and confident telephone manner.
- Confidence communicating with clients and customers both face-to-face and by phone.
- The ability to work independently while contributing positively to a wider team.
- Previous experience within lettings, estate agency, property or sales administration would be advantageous.
