A dynamic and successful boutique private wealth firm is seeking a highly organised Personal Assistant to provide comprehensive support to a senior adviser and their wider team. The position plays an important role in ensuring the smooth coordination of daily activities, helping advisers maintain a consistently high standard of service for their UHNW clients. This position involves a broad range of administrative, organisational and coordination responsibilities, requiring professionalism, accuracy and sound judgement. The successful candidate will act as a key liaison point, supporting both business and occasional personal matters with discretion.
The Details
- Scheduling and Coordination
- Oversee complex calendars across multiple time zones, arranging meetings, calls and events for the senior adviser and team.
- Act as a central contact for incoming communications, ensuring queries are handled efficiently and appropriately.
- Ad-hoc personal support.
- Client and Team Support
- Maintain accurate client information across internal systems, ensuring records are current and complete.
- Take ownership of the master client tracker, ensuring routine reviews, suitability checks, and consistent monitoring.
- Assist with preparation and distribution of periodic client communications and documentation.
- Provide general administrative assistance across the team, including support with data accuracy and system updates.
- Operational and Regulatory Administration
- Process and monitor expense submissions in line with internal policy and regulatory expectations.
- Maintain records relating to professional learning and development requirements.
- Assist with maintaining orderly records and documentation in accordance with internal standards and regulatory frameworks.
- Support periodic data reviews and administrative projects to ensure information integrity across systems.
- Relationship Management Support
- Assist with thoughtful client engagement initiatives, helping maintain strong professional relationships.

Candidate Profile
- 5yrs+ experience in professional services and/or financial services.

- Strong written and verbal communication skills.
- Able to build positive working relationships across teams.
