The predicted salary is between 40000 - 50000 £ per year.

This is a unique opportunity to join a growing business at an exciting stage of its development. Supporting the Chairman and two Directors, you will provide high-level executive support while helping to build the operational foundations of the company. On top of the traditional PA tasks, you will be instrumental in creating structure, implementing systems and establishing efficient ways of working as the business grows. We’re looking for a proactive, highly organised and hands-on individual who enjoys variety, takes ownership, anticipates needs and thrives in a fast-paced entrepreneurial environment.

Key Responsibilities (50% Directors / 50% Chairman)

  • Provide proactive administrative, organisational and operational support to the leadership team while establishing and maintaining efficient office systems, processes and ways of working as the business grows.
  • Manage complex inboxes, implementing effective filing, prioritisation and communication workflows.
  • Coordinate diaries, meetings, lunches, dinners and external engagements, ensuring efficient scheduling and preparation.
  • Arrange end-to-end international travel, including flights, accommodation, itineraries, visas and ground transportation.
  • Act as a key point of contact for clients, stakeholders and external partners, maintaining professional and efficient communications.
  • Draft, format and proofread correspondence, reports, presentations and business documentation.
  • Conduct research and prepare briefing materials to support business initiatives and decision-making.
  • Manage relationships with key third-party suppliers including accountants, legal advisers, banking partners and building management.
  • Oversee expenses, invoices, contract administration and general executive support.
  • Support onboarding activities and company policies.
  • Anticipate requirements and proactively resolve administrative issues before they arise.

Office & Operations Management

  • Establish and maintain filing, document management and record-keeping systems from the ground up.
  • Develop and implement office procedures, templates and administrative best practices.
  • Ensure company records are maintained accurately and are readily accessible.
  • Support onboarding of employees.
  • Coordinate health and safety administration and general office compliance requirements.
  • Identify opportunities to improve efficiency through automation, technology and process improvements.
  • Champion organisation, consistency and operational excellence across the business.
