About the Role

Operating Coordinator role in our London Sales Mayfair Office.

Responsibilities

  • Customer Experience: Deliver an exceptional internal and external customer experience by supporting the Department Head in implementing Customer Experience initiatives and driving improvements across the customer journey to enhance Net Promoter Scores. Answer incoming and outgoing calls, welcome clients, manage external enquiries and refer clients to a wide range of KF services.
  • Sales administration: Manage and execute all administrative aspects of the property journey across multiple instructions using our CRM system, ensuring best practice, compliance and client due diligence processes throughout the sales process.
  • Finance: Generate final account invoices and credit notes, manage approvals of office contractor invoices, assist team with expense submissions and submit Saturday staff timesheets.
  • Office management: Maintain a tidy and well-organised office environment, complete safety checks, order supplies, assist with refurbishment/relocation programmes and implement ISO regulations and GDPR, data and IT security regulations.
  • Operations: Prepare reports for management meetings, maintain accurate performance, holiday and absence records, manage diary and Saturday rota.

Qualifications

  • Prior experience in a business support, administration or front of house role (preferred but not required).
  • Flexibility, adaptability and a cooperative attitude.
  • Excellent organisational skills with strong attention to detail and effective diary management.
  • Excellent standard of English grammar and spelling.
