About the Role

We are seeking an experienced and detail-oriented

Property Portfolio & Lease Manager to join a dynamic global retail business within its Property Asset Management team.

This role would suit an individual with a background in commercial property, lease administration, estates management, legal services, conveyancing, paralegal work or property asset management who enjoys working with complex property portfolios and contractual documentation.

You will take ownership of the administration, review and management of lease and property-related information across a substantial UK and international portfolio.

Acting as a key link between Property, Finance, Legal and external landlords, you will ensure that lease obligations, key dates, property records and contractual information are accurately maintained, supporting business-critical property and financial decision-making.

The successful candidate will also provide day-to-day management and support to a Property Administrator.

Key Responsibilities

  • Review, interpret and maintain commercial lease documentation, licences, deeds, rent review memoranda and other property agreements.
  • Manage and maintain accurate property and lease records across the company's property systems.
  • Monitor and track critical lease events, including rent reviews, lease expiries, break options, renewals and key contractual obligations.
  • Act as the primary point of contact for property-related information and documentation requests.
  • Support the Property and Finance teams with lease accounting requirements, including IFRS16 reporting.
  • Ensure all property records, documentation and audit trails are complete, accurate and compliant.
  • Liaise with landlords, solicitors, surveyors, managing agents and internal stakeholders regarding property matters and lease updates.
  • Review property invoices, rents, service charges and related documentation to ensure alignment with lease obligations.
  • Produce portfolio reports and management information for senior stakeholders.
  • Identify discrepancies within lease documentation and property records, investigating and resolving issues as required.
  • Support property transactions, acquisitions, disposals, lease renewals and other asset management initiatives.
  • Assist in developing and improving property governance processes, controls and reporting procedures.
  • Conduct regular audits of lease and property records to ensure compliance and data integrity.

About You

To be successful in this role, you will have

  • Experience working within commercial property, estates management, lease administration, property asset management, legal services, conveyancing or a similar environment.
  • Strong understanding of commercial leases and property-related documentation.
  • Experience reviewing contracts, legal agreements or lease documentation and extracting key information.
  • Excellent attention to detail and the ability to manage large volumes of documentation and information accurately.
  • Strong organisational skills with the ability to prioritise multiple deadlines and competing demands.
  • Advanced Microsoft Excel and Microsoft Office skills.
  • Excellent communication and stakeholder management skills.
  • Experience liaising with landlords, solicitors, surveyors, agents and finance teams.
  • An understanding of IFRS16 or lease accounting principles would be advantageous.
  • A proactive approach to improving processes, controls and information management.
