Partner Secretary required to join a friendly and welcoming firm of Engineers and Architects based in Victoria. They are looking for a super easy going, down to earth and well skilled Secretary to support their team up to Partner Level. A busy and varied secretarial role where you will support a close-knit team of seven, they are looking for someone with a good sense of humour, strong work ethic and the ability to really muck in, with no job being too small.

Offering either 4 or 5 days in office but with the ability to be flexible when required, you will provide a high level of support, working closely with other members of the admin team to facilitate the smooth running of the office.

Daily duties to include but not limited to:

  • Diary and calendar management
  • Booking ad-hoc travel
  • Making/handling telephone calls, dealing with queries, taking messages etc.
  • Recording incoming documents (paper and electronic), checking for omissions
  • Liaising with staff, suppliers and clients professionally
  • Project administration
  • Typing from handwritten mark-ups, copy/dictation (tapes and direct) for letters, tables and reports
  • Proofreading documents, including reports
  • Inputting data into Excel spreadsheets
  • Assisting with marketing initiatives / website management
  • Running daily errands
