We are excited to be partnering with a city-based charity who is looking to recruit a Grants and Data Officer. Working as part of a team, the purpose of this role is to ensure the smooth operation of the Grants Department and its funding programmes.
Supporting this busy department, the role covers both the financial and operational year-end. As such, there will be a strong emphasis on administration using the grants database, Salesforce. Projects will include the running and updating of reports, updating of dashboards, assisting with grants enquiries, offers and processing of payments, and the organizing of events related to our funding programmes. This role will involve a high volume of people contact.
As well as this you will also support with:
Operations (particularly CRM)
- End-to-end data management of team functions using CRM System Salesforce, to include data entry, report and dashboard creation, and general record and data maintenance/cleaning.
- Enable the smooth processing of grants.
Job Title: Grants and Administrative Support Coordinator
Overview:
We are seeking an organized and proactive individual to join our team, supporting the smooth operation of the Grants Department. You will play a key role in managing funding applications, maintaining relationships with external agencies and software providers, and ensuring efficient administration of grants and events.
Key Responsibilities:
- Funding Applications & Relationship Management: Utilize software tools such as Form Assembly, Members, and others to process funding applications. Work closely with external support agencies and software providers to resolve operational issues effectively.
- Communication (Grants Department): Serve as the first point of contact for the Grants Department, responding to inquiries via phone, email, letter, and social media. Provide compassionate and professional assistance to applicants from diverse backgrounds.
- Event Coordination: Assist with the planning and administration of a small number of departmental events, ensuring all logistics are handled smoothly.
- Grant & Committee Administration: Prepare meeting papers for board circulation and maintain accurate, up-to-date records across all systems and databases. Ensure the timely processing and payment of grants and the removal of duplicate records.
- Other Duties: Support the team with additional tasks as required, contributing to the overall success of the department.
The Ideal Candidate:
You will be a highly organized and proactive individual, with a keen eye for detail and a passion for helping others. The ideal candidate will have:
- Proven organizational and administrative skills
- Strong attention to detail with the ability to manage complex information
- Experience with Salesforce or similar CRM platforms (preferably at an Administrator level)
- Excellent written and verbal communication skills, with the ability to support applicants from a range of backgrounds
- A positive, can-do attitude and a collaborative approach to problem-solving
- The ability to prioritize and manage multiple tasks to meet deadlines
- Proficiency in Microsoft Office
Additional Information:
- Working Hours: Full-time, 5 days per week, 8 hours a day (including 1-hour lunch break). Core hours are from 10 am to 4 pm, with flexibility to work between 8 am and 6 pm.
- Hybrid Working: Option for 1-2 days of remote work per week.
