Executive Assistant Opportunity – Private HNW Family Office | London-Based | Immediate Start
Salary C£80,000 plus travel allowance, plus bonus and benefits
We’re hiring an exceptional Executive Assistant to join a prestigious private family office, providing seamless, high-level support to the CEO (40%), CIO (40%), and CFO (20%).
This is a unique opportunity to work at the heart of a dynamic, fast-paced environment, supporting senior executives with both business and lifestyle coordination across multiple time zones.
Key Responsibilities
- Manage and optimise complex calendars, including scheduling across multiple time zones and coordination of high-level internal and external meetings.
- Act as primary contact between shareholders, executives and stakeholders (family members, internal teams, legal counsel etc.).
- Manage inboxes and handle confidential correspondence and documentation with discretion and precision, and in line with any regulatory requirements.
- Draft, proofread and manage high quality communications, reports, presentations and briefing materials.
- Prepare executive meetings, including compiling agendas, background materials, follow-ups, room and ICT set-up and testing.
- Demonstrate key contact recognition; a strong understanding of the family, executives and stakeholders, understanding their preferences and anticipating their needs
- Coordinate intricate domestic and international travel, including accommodation and visa arrangements.
- Create comprehensive itineraries and contingency plans to support positive travel experiences.
- Manage business and personal travel for the executives and shareholders as required.
- Support the executives and shareholders as needed with family and lifestyle requests.
- Project and Administration Management
- Take ownership of special projects to include assist in project tracking, investment updates and management of key action items.
What We’re Looking For
- Minimum 10 years’ EA experience at C-suite level
- Background in HNW family office or similar environment
- Strong understanding of financial/investment terminology
- Advanced MS Office and DocuSign skills
- Multilingual (Arabic highly desirable)
- Calm, resourceful, and emotionally intelligent under pressure
