Working within the Reward team, the Payroll Administrator will support the delivery of the payroll for the various legal entities in Klipboard.

As the payroll administrator, you will play a crucial role in managing and administering payroll and pension processes.

Your primary responsibility will be to ensure accurate and timely processing of payroll, compliance with statutory regulations, and efficient administration of pension schemes.

This role requires a deep understanding of UK payroll and pension regulations, strong attention to detail, and excellent organizational skills

Key Responsibilities

  • Process and coordinate monthly payroll activities, ensuring all payroll inputs are accurately captured, including new starters, leavers, contractual changes, sickness, maternity, paternity, overtime, and shift payments.
  • Administer statutory payments and entitlements, including SSP, SMP, and SPP, and provide employees with guidance on eligibility and benefits.
  • Conduct payroll reconciliations and validation checks to ensure payroll accuracy, completeness, and compliance with statutory requirements.
  • Maintain accurate payroll, pension, benefits, and employee records across payroll and HR systems.
  • Calculate and process salary increases, overtime payments, shift allowances, and other pay adjustments in accordance with company policies and contractual requirements.
  • Prepare and deliver payroll-related reports, analysis, and management information to support HR, Finance, and business requirements.
  • Reconcile and maintain data between payroll, HRIS, pension, and other related systems to ensure consistency and accuracy.
  • Prepare and submit payroll information and statutory reports to HMRC, pension providers, and other relevant bodies in line with reporting requirements.
  • Administer pension schemes and employee benefit programmes, including enrolment, contribution management, and query resolution.
  • Monitor, investigate, and resolve payroll audit exceptions, discrepancies, and data anomalies in a timely manner.
  • Ensure all payroll transactions are processed in compliance with payroll legislation, tax regulations, National Insurance requirements, and company policies.
  • Act as a key point of contact for employees, providing clear and accurate advice on payroll, taxation, pensions, benefits, and related queries.
  • Support internal and external payroll, pension, and compliance audits, ensuring accurate documentation and audit trails are maintained.
  • Collaborate closely with HR, Finance, pension providers, and external stakeholders to ensure efficient payroll operations and regulatory compliance.
  • Maintain up-to-date knowledge of payroll, taxation, pension, and employment legislation to ensure ongoing compliance and best practice.
  • Identify opportunities to improve payroll processes, controls, reporting, and service delivery, contributing to continuous improvement initiatives.
  • Support compliance inspections, PAYE reviews, pension audits, and other regulatory requirements as necessary.
  • Undertake additional payroll, reporting, and administrative responsibilities as required in line with the scope and level of the role.
