The Senior Executive Business Partner will provide dedicated business and operational support to Ben Jackson, Managing Director EMEA, who leads Klaviyo’s Commercial organisation across Europe. This role is a critical partner to EMEA leadership, enabling scale, execution, and operational excellence across a fast-growing, distributed region.
This is an opportunity for a highly organized, proactive, and strategic Executive Business Partner to work at the center of Klaviyo’s European growth. You’ll have direct exposure to regional strategy, senior stakeholders, and complex commercial initiatives, while playing a hands-on role in ensuring the smooth execution of priorities across the EMEA Commercial org.

How You Will Make a DifferenceA successful Senior Executive Business Partner will be a trusted thought partner, operational anchor, and execution driver for the Managing Director EMEA. You’ll deeply understand Ben’s priorities, the needs of the Commercial organisation, and the downstream impact of key initiatives.
In this role, you will:
- Own end-to-end calendar management for the Managing Director EMEA, prioritising time across customers, internal leadership, travel, and strategic initiatives.
- Act as a strategic partner on executive-level project management, helping drive key EMEA Commercial initiatives forward.
- Manage the operational cadence of the EMEA Commercial organisation, ensuring effective planning, meeting rhythms, follow-ups, and accountability throughout the year.
- Serve as a second set of eyes on major initiatives, communications, and planning to ensure clarity, alignment, and effective cross-functional collaboration.
- Attend leadership meetings as needed, capture action items, and follow up on deliverables to keep momentum moving.
- Coordinate complex internal and external meetings including leadership forums, customer meetings, offsites, all-hands, and cross-functional sessions.
- Proactively manage correspondence and meeting priorities, balancing customer needs, regional initiatives, fiscal calendars, and release cycles.
- Partner effectively with senior leaders and stakeholders across Sales, Marketing, Product, Finance, People, and external partners.
- Support agenda setting and content review for leadership and Commercial meetings.
- Manage global travel arrangements and expense reporting for the Managing Director EMEA, including complex, multi-country schedules.
- Take ownership of ad hoc projects such as drafting team communications, creating leadership presentations, managing budgets, and planning EMEA events and offsites.
- Be flexible and responsive to changing priorities, supporting seamless scheduling across time zones.
- Be present in the office at least three days per week in a hub location, with flexibility based on business needs.
- Travel up to 20% as required to support EMEA office events, leadership offsites, and key moments for the Commercial organisation.
You have 6+ years of experience in an executive administrative or Executive Business Partner role, ideally supporting Sales, Go-To-Market, or Commercial organisations.
You have experience supporting senior leaders or C-level executives, ideally in a fast-paced, global environment.
You’re highly experienced in managing complex travel, expenses, and executive logistics, and may have experience holding a corporate card.
You’ve supported customer-facing activities and high-profile events, often acting as a project manager.
You’re fluent with tools such as Google Workspace, Slack, Zoom, and other modern collaboration platforms.
You’re discreet, intellectually curious, and operate with a high degree of confidentiality and judgement.
You anticipate needs before they arise and proactively gather the information required to execute effectively.
You bring a team-first mindset and are comfortable collaborating with senior stakeholders across functions.
You’re a self-starter who operates independently and thrives in ambiguity.
You actively seek feedback and are committed to continuous improvement.
You have excellent written and verbal communication skills, strong attention to detail, and the ability to influence without authority.
