Job Description/Preferred Qualifications
We are seeking a highly organized and proactive Talent Acquisition Coordinator to support our recruitment activities. This role is critical in ensuring a seamless candidate experience while partnering closely with Recruiters, Hiring Managers, HR teams, and candidates throughout the hiring process. The ideal candidate is an excellent communicator who enjoys interacting with people, can effectively assess candidate suitability through initial screening conversations, and excels at managing multiple priorities in a fast-paced environment.
Responsibilities:
- Candidate Engagement & Screening
- Conduct initial phone screenings with candidates to assess their qualifications, experience, motivation, and overall fit for open positions.
- Serve as the first point of contact for candidates, providing a professional and positive candidate experience.
- Answer candidate questions and provide information regarding the recruitment process.
- Maintain regular communication with candidates throughout the hiring journey.
- Interview Coordination
- Schedule and coordinate interviews across multiple stakeholders, including Hiring Managers, Recruiters, and HR Business Partners.
- Manage complex interview calendars and ensure timely scheduling while balancing competing priorities.
- Coordinate virtual, onsite, and panel interviews.
- Prepare and distribute interview schedules, confirmations, and relevant documentation.
- Stakeholder Management
- Partner closely with Recruiters, Hiring Managers, HR teams, and business leaders to support recruitment activities.
- Act as a liaison between candidates and internal stakeholders to ensure efficient communication.
- Monitor recruitment progress and proactively address scheduling conflicts or delays.
- Recruitment Administration
- Maintain accurate candidate records within the Applicant Tracking System (ATS).
- Track interview progress and ensure recruitment data is kept up to date.
- Generate recruitment reports and support hiring metric tracking when required.
- Ensure recruitment processes are compliant with company policies and employment regulations.
Minimum Qualifications
- Previous experience in Recruitment Coordination, Talent Acquisition Support, HR Administration or a similar role.
- Strong interpersonal and communication skills with the confidence to engage directly with candidates.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple priorities and work effectively in a fast-paced environment.
- Strong stakeholder management skills and ability to work with diverse teams.
- Experience using Applicant Tracking Systems (ATS) and scheduling tools is preferred.
- Proficiency in Microsoft Office applications, including Outlook, Teams, Excel, and Word.
- Highly organized and detail-oriented.
- Customer-focused with a passion for delivering an exceptional candidate experience.
- Strong problem-solving and coordination skills.
- Ability to work independently while collaborating effectively with multiple stakeholders.
