Are you an experienced Secretary, Administrator or Office Support Professional looking for your next career opportunity? As a highly regarded law firm in Dorset, we are seeking a professional, organised and proactive individual to join our friendly Private Client team. This is an excellent opportunity for someone with strong administrative and organisational skills who enjoys working in a professional client-focused environment. Previous legal experience is not essential and we welcome applications from candidates with transferable skills gained in sectors such as financial services, accountancy, healthcare, estate agency, insurance, education or other professional office settings.

Key Responsibilities

  • Providing comprehensive secretarial and administrative support to the Private Client team.
  • Preparing, formatting and proofreading correspondence, legal documents and other client-related documentation.
  • Managing diaries, arranging appointments and coordinating meetings for your fee earner/s.
  • Handling client enquiries professionally and efficiently, both in person, by telephone and via email.
  • Opening and maintaining client files in accordance with firm procedures and regulatory requirements.
  • Assisting with file management, billing processes and general administrative tasks.
  • Maintaining accurate records and ensuring documentation is filed and stored appropriately.
  • Supporting the team in delivering an efficient, high-quality service and excellent client care.
  • Undertaking other administrative duties as required to support the smooth running of the department.

About You

We are looking for an individual with excellent secretarial, administrative and organisational skills who is keen to become part of a supportive and professional team. You will also demonstrate:

  • Previous experience in a secretarial, administrative, personal assistant or office support role.
  • Excellent communication and interpersonal skills with a professional and approachable manner.
  • Strong attention to detail and the ability to produce accurate documentation and correspondence.
  • Good IT skills, including proficiency in Microsoft Office applications.
  • The ability to manage multiple tasks, prioritise workloads and work effectively to deadlines.
  • A proactive, flexible and positive approach to work.
  • Experience within a legal, financial, professional services, healthcare or other regulated environment would be advantageous but is not essential.
  • Previous legal or Private Client experience would be welcomed but full training will be provided for the right candidate.
