Administrative Assistant (Maternity Cover)

Contract: Full-time, fixed-term (immediate start for training; cover approx. early Dec – Sep)

Hours: Mon–Fri, 9:00–17:00

Pay: UK National Minimum/Living Wage (age-banded)

Company Description

Kitroom is a Northern Ireland–based sportswear and equipment supplier for clubs and organisations. We provide bespoke branded and unbranded playing kit, training wear, off‑field wear and merchandise. Clubs can buy in bulk or via customised online club stores tailored to their needs.

Role Description

We’re hiring an Administrative Assistant on a fixed‑term contract to cover maternity leave. You’ll handle day‑to‑day admin and customer communications, and you’ll pitch in with light production and order packing during busy periods. The role is on‑site and requires a practical, hands‑on approach.

Key Responsibilities

  • Manage inbox and phone queries; provide clear, timely updates to customers.
  • Process online orders; maintain accurate records and order statuses.
  • Create and maintain job sheets, artwork approvals and order notes (Google Workspace/Zoho).
  • Raise invoices and log payments; book postage and prepare dispatch paperwork.
  • Support production and fulfilment: prepare garments, print labels, pick/pack orders, basic QC, restock consumables.
  • Keep shared workspaces tidy and organised.

Qualifications & Skills

  • Strong administrative/clerical skills with excellent attention to detail.
  • Confident communicator with good phone and email etiquette.
  • Organised, reliable, able to manage multiple tasks independently.
  • Comfortable using computers (Google Workspace; basic spreadsheets).
  • Experience with Shopify and/or Zoho Inventory/Books.
  • Familiarity with embroidery/DTF/vinyl workflows or apparel fulfilment.
  • Prior experience in a similar admin role; relevant training/certifications.
