The Role:

Assisting the Project Management team in delivering all aspects of the Project Administration required, with reference to project compliance with Kirby way, procurement, documentation, administration and good practice.

Responsibilities:

  • Maintaining the document control of the project documents.
  • Working with the Project Management team to provide project management administration and support across multiple projects at any one time.
  • Establishing Project Compliance with the Kirby way.
  • Providing project procurement for small miscellaneous items, consumables and plant.
  • Keeping up to date key project files (electronic and hard copy) including the risk register, project programmes, drawings and technical information, and providing information as required to other teams.
  • Service and setting up internal and external project meetings and taking notes to produce a timely and accurate record of proceedings.
  • Collating and chasing project information, reminding team members of key deadlines and assisting with ensuring the project is delivered on time.
  • Providing a central point of contact for communication of the progress of individual projects.

Requirements:

  • Strong administration skills.
  • A can‑do and pro‑active approach to project and procurement work.
  • Confident phone manner.
  • Excellent IT skills, particularly Excel, working with budget spreadsheets and cashflows.
  • Ability to work on different tasks at the same time and juggle priorities.
  • Excellent interpersonal communication skills for fostering good relations with staff, suppliers, funders and directors.
  • Preferable previous experience within the construction industry.
  • Commercially aware.
