Penrose Veterinary Practice is part of the Kin Vet Community — a vet‑led group of 22 practices across Essex, Suffolk, Hertfordshire, Kent and Southwest London. Our reception and client support team play a vital role in ensuring every client feels welcomed, supported and looked after from the moment they contact us.

The Role

The Client Support Administrator is the first point of contact for our clients and is key to ensuring a smooth, friendly and professional experience. You will support the day‑to‑day running of the front desk, help clients with appointments and payments, and maintain high standards of communication and organisation. This is a great opportunity for someone who enjoys working with people, thrives in a busy environment, and wants to be part of a supportive practice team.

Key Responsibilities

  • Book appointments promptly and ensure practice diaries are well‑managed
  • Contact clients to rebook missed appointments and follow up on outstanding estimates
  • Take payments at the end of consultations and arrange follow‑up appointments
  • Promote the Kin Vet Community Health Care Plan to support client understanding and uptake
  • Keep client records up to date, including insurance details, contact information and patient weights
  • Support insurance claim processing in line with company policy
  • Follow Kin Vet Community debt and insurance procedures
  • Maintain a clean, welcoming reception area and greet clients warmly in person and by phone
  • Respond to incoming emails in a timely and professional manner
  • Carry out any other reasonable duties to support the smooth running of the practice

  • Comfortable working in a fast‑paced environment
  • A team player with a positive attitude
  • Previous customer service experience is helpful but not essential — full training will be provided
