The role- Diary & Scheduling
- Manage an exceptionally busy and ever-changing diary across multiple time zones
- Coordinate internal and external meetings, calls, reservations, and appointments
- Prepare daily and weekly schedules, briefing notes, reminders, and priority lists
- Gatekeep and prioritise incoming requests, communications, and competing demands on time
- Communications & Correspondence
- Support with correspondence, drafting emails, follow-ups, and light document preparation
- Liaise with senior internal stakeholders, external partners, advisors, and household or lifestyle contacts as needed
- Personal, Lifestyle & Travel
- Oversee personal scheduling, bookings, reservations, gifting, errands, and lifestyle logistics
- Coordinate personal appointments, family logistics where relevant, and ad hoc projects
- Manage complex international and domestic travel, including flights, hotels, ground transport, visas, itineraries, and contingency planning
- Ensure seamless end-to-end travel experiences with real-time adjustments when plans change
- Household & Staff Operations
- Support with the day-to-day coordination of household operations to ensure the principal's home life runs smoothly and efficiently
- Liaise with and help oversee household staff, ensuring schedules, priorities, and standards are clear and maintained
- Support recruitment coordination, onboarding, and administration for household staff as needed
- Coordinate closely with the principal's driver on daily schedules, route planning, airport runs, timing security, and last-minute changes
- Projects, Events & Artist Relations
- Track action items, deadlines, and follow-ups across multiple workstreams
- Coordinate with teams, vendors, and external partners to keep projects moving
- Assist with planning, logistics, and on-the-ground coordination for pop-up events and activations
