We are seeking a highly organised and knowledgeable Passive Fire Administrator with proven experience in fire stopping, fire door compliance, and working knowledge of BM TRADA certification schemes. This role supports the delivery of passive fire protection works by managing administrative processes, reviewing inspection reports, and preparing accurate quotes and estimates for fire door installations, fire stopping, and fire door remedials. The successful candidate will play a key role in ensuring compliance with current fire safety regulations and supporting project delivery from survey to completion.
Key Responsibilities:
- Report Review & Interpretation:
- Review fire stopping and fire door inspection reports (including BM TRADA reports) to identify required remedial actions.
- Accurately interpret technical data relating to compartmentation, penetration seals, and door set compliance.
- Flag any non-compliance or high-risk findings for prioritised action.
- Compile detailed estimates and quotations for fire stopping works, fire door repairs, replacements, and upgrades.
- Work with operational teams and subcontractors to ensure scope of works is priced accurately and competitively.
- Assist in pricing variations and tender submissions where required.
- Ensure all administrative procedures align with BM TRADA Q-Mark certification standards for fire stopping and fire doors.
- Maintain full records of installations, inspections, remedials, and certification for audit purposes.
- Support third-party audits by preparing and submitting the necessary evidence and documentation.
- Maintain an organised tracker of quotes, live jobs, inspection findings, and remedial progress.
- Support project delivery teams with scheduling, material tracking, and purchase orders.
- Assist in preparing job packs for engineers and ensuring closeout documentation (e.g., door tags, labels, certifications) is completed and returned.
- Liaise with clients and internal teams to provide updates on quote status, compliance progress, and delivery timelines.
- Address queries relating to scope of works or report findings and ensure prompt resolution.
Skills, Experience and Background:
- Experience working within passive fire protection, specifically fire stopping and fire doors.
- Strong working knowledge of BM TRADA Q-Mark schemes (Fire Stopping and Fire Door Maintenance/Installation).
- Proven ability to produce accurate estimates and interpret detailed survey/inspection reports.
- Familiarity with fire door components, installation requirements, and maintenance standards.
- High level of IT literacy including Microsoft Office (especially Excel) and report tracking systems.
