About the Opportunity
We are recruiting on behalf of a well-established firm within the property and legal sector that is seeking a Legal Onboarding Executive to join its busy Real Estate team. This role plays a key part in ensuring new clients are welcomed professionally, onboarded efficiently, and supported throughout the early stages of their conveyancing journey.
You will be the first point of contact for clients, guiding them through initial queries, preparing accurate quotes, handling documentation, and ensuring each file is opened correctly and passed on to the appropriate case handler. This is an excellent opportunity for someone who enjoys client interaction, has strong organisational skills, and thrives in a process-driven environment.
Key Responsibilities
- Client Engagement & Quoting
- Act as the primary point of contact for new clients, offering a friendly, professional service
- Understand client needs over the phone and provide accurate, detailed quotes
- Proactively follow up on new leads to maximise conversion and support business growth
- Case Management
- Set up new conveyancing files, ensuring all client details are correct and assigned to the appropriate fee earner
- Use case management software effectively to streamline form completion and minimise errors
- Report system issues or improvement ideas to the Welcome Team Manager to enhance productivity
- Relationship Building
- Work closely with the conveyancing team to understand workloads and allocate new files appropriately
- Assign files fairly based on capacity and expertise
- Ensure individual fee earner requirements are met and seek clarification where needed
- Call Management
- Support reception by handling incoming calls and managing enquiry queues
- Assess client needs and transfer calls to the appropriate fee earner
- Provide basic file updates when information is available on the case management system
- Quality & Compliance
- Adhere to SRA standards, data protection requirements, and firm policies
- Maintain high levels of confidentiality and accuracy across all documentation
Required Skills & Experience
- Strong written English, spelling, and grammar
- Fast, accurate typing and excellent document formatting skills
- Confident using MS Office (Word, Excel, Outlook) and PDF tools
- Highly organised, reliable, and able to manage multiple deadlines
- Professional communication skills and a client-focused mindset
- Willingness to learn and develop
- Knowledge of the conveyancing process is desirable but not essential
