RESPONSIBILITIES

DAY TO DAY

  • Onboarding clients
  • AML checks – when clients send their letters of instruction, register their numbers with Thirdfort and email the client to say you have done that. When the Thirdfort report comes in, save and review
  • Check their source of funds and liaise with the clients to obtain everything we need from them to complete the AML due diligence
  • Dealing with tasks set by the fee earner which will including preparing documents for reporting, competing risk compliance forms, paying invoices.
  • Updating LMS and Lender Exchange
  • Phone calls to clients, banks, estate agents

DEALING WITH FUNDS

  • Check accounts emails and claim funds using E-chit that are for our clients
  • Confirming to client funds their funds are in.
  • Sending monies out as requested by the fee earner

DRAFTING

  • TR1
  • Contracts
  • Deed of Covenants
  • SDLT Form 1
  • Invoices
  • Financial Statements

SALE

  • Downloading title deeds from Land Registry
  • Liaise with clients re gathering documents for the contract pack
  • Apply for leasehold information packs
  • Prepare and send draft contract packs to buyers solicitor

EXCHANGE

  • Sending Contracts to Sellers/Buyers Sol
  • Completing TA13 – replies to requisitions on sale
  • Preparing completion statements and sending them to the buyers solicitor
  • Priority Searches
  • Bankruptcy Searches
  • COTS – Completing them, sign on our behalf and sending them to the bank
  • Requesting redemption statements
  • Sending statements to clients in readiness for completion.
  • Generally prepare purchase and sale files for completion

COMPLETION/POST COMPLETION

  • Dealing with completions (sale and purchase)
  • Making sure mortgage funds are in before completion
  • Sending funds on completion/receiving funds
  • Redeeming charges on sale
  • Keep the client up to date on the day of completion
  • On a sale send the signed and dated electronic TR1 to the buyers solicitor and original when you are in the office.
  • SDLT submission and payment on purchase
  • Sending notice of assignment and charge to managing agents
  • Chasing certificates of compliance (where applicable) and any other docs
  • Update Lender Exchange and LMS
  • Submitting AP1s on InfoTrack
  • Replying to Land Registry requisitions
  • Managing post completion work
  • Keeping Track of Post Completion – regularly check, make sure documents are in, notices have been done/receipted, AP1s done, chase registrations.
  • Archive files that can be archived
