We are seeking to appoint a hardworking and enthusiastic communications and events coordinator to assist the Head of Alumni and Engagement in the following areas: Events management

Responsibilities

  • To plan and coordinate the annual series of development events – create guest lists, send and monitor invitations, create briefing notes and arrange events logistics and follow up.
  • To scope, secure and book suitable venues or locations for events, co-ordinating venue hire arrangements, caterers, contractors, and equipment hire, where required.
  • To ensure all safeguarding policies are implemented and briefings provided to multiple constituents in advance of any events.
  • To liaise as required with the various stakeholders including guest speakers, ensuring that the events proposed are managed from inception to delivery
  • Administrate email and print mailings to support the development office.

Communications, database and administration

  • Supporting the delivery of creating stories and content for different channels, including the website and social media platforms and producing monthly King\’s Association eBulletins via Toucan Tech.
  • Track and provide data analytics on the performance of our engagement and communications activities.
  • Liaise with the School Archivist to promote stories and events from the school\’s archives, assisting them when needed.
  • Provide administrative support to the development office as required, assisting with general office management, and acting as a first point of contact within the school and externally, monitoring the development email inbox and telephone enquiries.
  • Maintain and update the alumni and parent database.
  • Support the Head of Alumni and Engagement with the administration of the Old King\’s Club, the Law Society, the Fellows and the Friends of King\’s.
  • Run data segmentation for mailings and undertake mass mailings from the database. Support the Development Fund & Data Analyst with the annual data for new staff, new families (to include careers information where available), those progressing through the school and information gathered from leavers.

Any other duties within the scope, spirit and purpose of the job as directed by the Director of Development and Head of Alumni and Engagement.

Qualifications

  • Experience coordinating and delivering high level events.
  • Experience managing multiple stakeholders.
  • The ability to multi-task and coordinate multiple events at once.
  • Strong influencing skills. Exceptional problem-solving skills.
  • Strong communication skills.
  • The ability to interact comfortably and professionally with donors, alumni, parents, and pupils and colleagues whilst maintaining the highest standards of confidentiality.
  • Excellent attention to detail.
  • A courteous and clear communication style with good writing skills.

This is a full-time role working 40 hours per week. Some flexibility will be expected, there is a requirement for some evening and weekend work for which time-off \’in lieu\’ will be granted
