Student Administration Services undertake the administration of the student lifecycle including Welcome, Enrolment & Registration, Visa Support & Guidance, Student Records and Graduation, Police Registration, and Orientation. We work to ensure all students who study at King's receive a world-class student experience by aligning support for students through their educational journey at King's with the academic cycle of events throughout the year.

We are part of the wider Students & Education Directorate, a collection of wide-ranging professional services in place to support King's students and their education. As a directorate we manage the student lifecycle from application to graduation and beyond, to ensure a coherent and seamless student experience and effective administrative processes, working closely with King's faculties to do so.

About the role

We are recruiting a proactive Senior Records Officer to deliver professional and efficient administrative support as part of a comprehensive, professional, and student-centred service. Successful candidates will be well-organised, good communicators, have administration experience and possess excellent IT skills.

This is an exciting opportunity for candidates looking to manage and improve systems and processes that support the student administrative lifecycle, and who wish to utilise their skills and expertise in student administration.

This is a full-time post (35 hours per week), and you will be offered a fixed term contract for 12 months, until 02/03/2027. We also welcome applications from candidates seeking a flexible work pattern within our necessary service operating hours.

Key Responsibilities

  • Ensure that full, accurate and accessible records are kept in the University's student record system (SITS), working with students, faculties, and other departments as necessary to resolve data issues through record interrogation and fact-finding.
  • Work closely with professional services and academic staff, offering guidance on the university's processes, procedures and the regulations, and training colleagues in their use as needed.
  • Contribute and deliver key Student administrative processes across the academic year, including Changes of Registration, Enrolment, Re-enrolment and Module Registration ensuring the provision of a high-quality service to staff and students.
  • Act as a champion for procedure and policy relating to the Student record, ensuring accuracy and consistency, while adhering to General Data Protection Regulation (GDPR) rules on confidentiality of personal information.
  • Act as a consistently professional and solution-focussed ambassador for Student Administrative Services as a whole. Contributing proactively to the ongoing development of business processes, procedures and working practices within the team to support continuous improvement and optimum efficiency.
  • Develop an expert knowledge of SITS and other systems required to perform the role.

About you

To be successful in this role, we are looking for candidates to have the following skills and experience.

Essential criteria

  • Relevant work experience and/or education: We think a wide range of different work and educational experiences could support you to be successful in this role. Relevant work experience might include work in higher education, or a compliance role. Relevant educational experiences might include higher education in a related discipline, professional qualifications or other training.
  • Excellent attention to detail and an eye for accuracy.
  • Excellent IT Skills, including with the Microsoft Office Suite.
  • Excellent administrative skills, including the ability to organise and plan effectively.
  • Good oral and written communication skills, with the ability to provide detailed advice and guidance on specialist, defined processes and procedures to internal and external contacts.
  • Ability to work collaboratively.
  • Anticipating problems and applying proactive and innovative approaches to resolve issues.
  • Flexible and comfortable with adapting to change.
  • Knowledge of the student management system SITS Client.
  • Knowledge of policies and procedures and their application in a Higher Education context.

Desirable criteria

  • A general understanding of GDPR and the importance of the protection of personal data.
  • Experience of working in Higher Education.
