The post holder will be responsible for the coordination of the medical staffing on rota within the Care Group at Princess Royal and South Sites. This will include the development and on-going management of the out of hours and on call rotas for Trauma & Orthopaedics Medical Team.
He/she will manage the sickness, annual leave, study leave and special leave for all medical staff within the Care Group with input and support from all consultants and the Care Group management team.
Main duties of the job
To act as the first point of contact for all medical staff within the Care Group and to proactively deal with all forms of enquiries from staff and external agencies in a professional manner.
To co-ordinate and manage the medical staff rotas, working closely with the Workforce Business Partner and Care Group Managers to ensure compliance with EWTD.
Together with the Care Group Managers and Workforce Medical Staffing – administrate the intake of new junior doctors, attending induction and coordinating that all relevant statutory and mandatory courses are attended. Distribution of out of hours on-call rota and ensure that medical staff adhere to Trust policy and deal with related queries.

Detailed job description and main responsibilities
To implement measures and guidelines to ensure all medical rotas are at the correct banding and are maintained at the same level.
In conjunction with the Care Group Managers, to maintain records of all medical leave within the Care Group. To act as the first point of call for leave requests, checking leaving requested against out of hours/on-call commitments and referring up to service manager and general managers where required. To ensure adherence to Trust leave guidelines and to seek locum cover where appropriate through the Trusts agreed procedures.
Implementation of control measures to manage usage of locum and agency. Ensure that correct costing and payments of related invoices are carried out. Maintain an account of budget usage and liaise with the Care Group on expenditure of medical staff in line with monthly budgets and comment on monthly performance.
Ensure that complaints in regards to medical staff, both permanent and bank/agency are dealt with in a timely manner and escalated where necessary.
Liaise with HR, medical personnel, Finance and the Care Group Management Team, with regards to managing budgets and identifying vacant posts. In turn ensuring that adequate medical staff are in place.
Work closely with the Workforce Department to set up and run the junior doctors monitoring exercises and support in the feedback to departments on outcomes.
Maintain leave records for all doctors within the Care Group and ensure aspects of basic pay, annual leave, sick and all relevant documents have been completed and signatories completed and submitted to Payroll in line with requirements.
To attend relevant medical personnel meetings and induction to outline the expectations of staff when in post in relation to absence reporting and rota compliance.
Check and compare agency invoices in line with the Agency processes in place.
Person specification
- Educated to GCSE/O’Level standard
- Previous experience in medical staffing or equivalent role
- Experience of working in an acute NHS hospital trust
- Understanding of UK medical training, including Modernising Medical Careers
- Understanding of the operational management of the NHS and the delivery of services
- Knowledge of NHS Electronic Staff Record
- Knowledge of Patchwork for monitoring junior doctors hours
