The job is at King’s College Hospital NHS Foundation Trust, located at the Princess Royal Hospital. The Medical Equipment Management Service (MEMS) is looking for a motivated individual to join their medical equipment contracts team. The successful candidate will support the Contracts Manager in managing Trust-wide maintenance contracts for biomedical, laboratory, and imaging equipment across multiple sites.

Main duties of the job

Job Summary: The post holder will actively support the Contracts Manager to ensure that maintenance contracts are managed to a high standard. Responsibilities include renewing contracts, ensuring necessary documentation, and recording servicing and repairs accurately in the equipment database. The holder must communicate with stakeholders and suppliers, adhere to Trust confidentiality policy, and engage all stakeholders to ensure effective contract management.

Detailed job description and main responsibilities

  • Contract Management: Manage a portfolio of medical device service and maintenance contracts, ensuring agreements meet Trust requirements and standing orders. Review contracts for renewal and determine if equipment is still in use or due for replacement. Recommend maintenance and servicing needs in consultation with contract manager, end-users and clinical experts. Consult MEMS for technical aspects of medical equipment. Liaise with Procurement to negotiate pricing and obtain agreement before placing contracts. Source new service and maintenance contractors as required. Monitor contractor performance throughout the contract period and strive to improve quality, performance and efficiency. Ensure servicing is completed according to contract terms and upload reports to the database. Log and complete contracted equipment repairs efficiently. Apply medical device contracting knowledge from degree or equivalent experience.
  • Planning and Organisational Skills: Keep accurate records of the contract database and facilitate a contract management programme. Inform care groups of equipment requiring contracts and associated risks. Record expenditure and savings, providing budget information to senior managers. Update the contract element of the medical equipment asset register. Analyse complex situations and make decisions on contract planning and negotiation. Analyse equipment performance trends and optimise resources. Act on user complaints, investigate, and report. Adhere to Trust policies and procedures. Manage the order-to-invoice process for servicing and repairs. Liaise with Management Accounts on equipment budget monitoring. Follow Standing Financial Instructions and NHS protocols.
  • Governance / Quality Control: Undertake work in accordance with the department quality management system (ISO 13485).
  • Communication: Respond to enquiries regarding maintenance contracts and act as principal contact to wards and departments. Liaise with external clients and companies on equipment servicing and repairs. Provide contract reports to senior management. Maintain communication with provider representatives for performance monitoring. Advise clinical users on new or replacement service contracts. Provide information on medical device alerts and freedom of information requests promptly.

Person specification

  • Education and Qualifications: Relevant degree or equivalent experience. Specialist knowledge in medical equipment acquired through BSc level professional qualifications or equivalent.
  • Knowledge and Experience: Experience in medical device management. Ability to negotiate technical and commercial issues. Knowledge of CQC standards. Knowledge of NHS structure. Experience managing budgets and efficiency programmes.
  • Additional requirements: Knowledge of standards and legislation relevant to medical device management. Experience using an asset management system. Good written and verbal communication skills. Ability to work independently and prioritise workload in a busy service. Technical understanding of medical devices to degree level or equivalent.

The role is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and will require a Disclosure and Barring Service check for any previous convictions.
