Advanced Pharmacy Technician - Procurement and Distribution
King’s College Hospital NHS Foundation Trust (KCH) – one of the UK’s largest and busiest teaching Trusts – is seeking an Advanced Pharmacy Technician to manage procurement and distribution for the outpatient pharmacy.
This permanent, full‑time role (37.5 hours per week) is based at Kings College Hospital, London.
Responsibilities
- Act as the key liaison between the main pharmacy department and the outsourced outpatient pharmacy.
- Lead the management of medicines shortages in partnership with Clinical Pharmacists, coordinating procurement, distribution, financial oversight (including cost impact and recovery) and mitigation strategies to ensure continuity of supply.
- Support procurement activities including contract management, supplier engagement and implementation of pricing updates, working closely with the Pharmacy Procurement Team.
- Contribute to the development and delivery of pharmacy objectives and service improvement plans, especially around procurement, distribution and medicines supply resilience.
- Maintain the pharmacy dispensing system (Epic) – ensure data integrity, support drug file and supplier database maintenance, and prepare data for national, regional and local purchasing contracts.
- Keep the Procurement Team updated on all contracts/framework or local agreement information on Epic, ensuring accurate financial data.
- Serve as escalation point for the outsourced outpatient pharmacy when contracted medicines cannot be sourced.
- Collaborate with the Distribution Team to respond to medicine shortages, coordinating stock allocation, redistribution and contingency arrangements.
- Assist in updating Omnicell configurations, stock lists, par levels and alternative products in line with ward changes.
- Ensure medicines are purchased cost‑effectively, carrying out financial reviews and end‑of‑month challenges for contracted lines.
- Manage losses and gains on Epic, conduct stock revaluations and maintain documentation of all actions.
- Coordinate contact with suppliers for credit where prices have not matched, and support off‑contract purchases.
- Act as a role model and line manager, including staff appraisals, sickness absence, disciplinary matters, recruitment, workload allocation and CPD.
- Maintain high‑level access to the Epic system and train new and existing staff on procurement, distribution and relevant systems.
- Participate in research, audit and service improvement projects related to procurement and distribution.
- Lead, coach and manage the performance of the team – oversee performance appraisals, statutory training, absences, succession planning and wellbeing.
Person Specification
- NVQ Level 3 plus accredited underpinning knowledge (BTEC in Pharmaceutical Science or equivalent) or equivalent.
- Professional registration with the General Pharmaceutical Society of Great Britain.
- Postgraduate diploma in Purchasing or Management or equivalent portfolio demonstrating senior management level experience and relevant postgraduate short courses.
- Knowledge of pharmacy stock control procedures.
- Adept at communicating complex pharmaceutical purchasing and pricing information to all levels of healthcare professionals, including senior consultants and directors.
