Working Hours: Wednesday to Friday 8.15am to 13.00pm

Our client is currently looking to recruit an experienced part time receptionist / administrator to join the team on a permanent basis.

Purpose of the Role

To provide professional front-of-house reception and administrative support, ensuring the smooth and efficient operation of office services. The role involves welcoming visitors, coordinating employee appointments, managing incoming and outgoing correspondence, liaising with courier and parcel services, and maintaining accurate records within the company's CRM system.

Key Responsibilities

  • Reception and Visitor Management
    • Meet and greet visitors in a professional and friendly manner.
    • Ensure all visitors are signed in and comply with site procedures.
    • Direct visitors to the appropriate departments or personnel.
    • Maintain a tidy and welcoming reception area.
  • Employee Administration
    • Schedule and coordinate Occupational Health appointments for employees.
    • Arrange pension-related appointments and provide administrative support where required.
    • Maintain accurate records and appointment schedules.
  • Mail and Correspondence Management
    • Prepare all outgoing post and documentation for collection.
    • Receive, sort, and distribute incoming mail accurately and efficiently.
    • Ensure confidential correspondence is handled appropriately.
  • Courier and Parcel Administration
    • Liaise with parcel carriers and courier companies regarding deliveries and collections.
    • Arrange and coordinate parcel shipments and collections.
    • Track deliveries and resolve any issues relating to lost or delayed items.
  • CRM Management
    • Update and maintain customer and employee records within the CRM system.
    • Ensure data accuracy and compliance with company procedures.
    • Generate reports and provide information as required.
  • General Administration
    • Provide administrative support to departments as required.
    • Maintain filing systems and office records.
    • Respond to general enquiries via telephone, email, and in person.
    • Assist with other administrative duties to support the smooth running of the office.
