Receptionist / Front of House
Location: Private Clinic - Harley Street
Reporting to: Clinic Manager
Contract: Full-time, permanent

We are looking for a polished, organised and patient-focused Receptionist to join a private clinic based on Harley Street. As the first point of contact for many of our patients, you will play a vital role in creating a professional, welcoming and reassuring experience from the moment they contact or arrive at the clinic. This is a busy and varied role, ideal for someone who enjoys working in a fast-paced private healthcare or high-end customer service environment. You will be responsible for welcoming patients, managing appointments, supporting up to seven clinical diaries, handling payments and helping to ensure the smooth day-to-day running of reception.
The role
You will provide an exceptional front-of-house and administrative service to our patients and clinical team.
- Welcoming and assisting patients on arrival
- Creating a calm, organised and professional reception and waiting area
- Managing and supporting up to seven clinical diaries
- Booking appointments face-to-face, over the telephone and via email
- Handling incoming internal and external telephone calls
- Responding to patient enquiries professionally and efficiently
- Providing patients with relevant information about the clinic, treatments and their appointments
- Advising patients of treatment plans and appointment requirements
- Ensuring patients have the information they need to enjoy a smooth and positive clinic experience
- Taking payments and supporting invoicing for deposits, surgery balances and eye examination fees
- Updating and maintaining accurate patient records and databases
- Preparing templates within the Electronic Medical Record system
- Distributing patient questionnaires and testimonials
- Completing end-of-day administrative duties
- Opening and closing the premises
- Supporting office administration, including ordering supplies and completing stock checks
- Attending team meetings and helping to resolve operational issues
- Ensuring reception is clean, tidy and welcoming at all times
- Ensuring patient facilities are appropriately stocked and maintained
- Supporting the Clinic Manager with additional administrative duties as required
About you
We are looking for someone who is highly organised, proactive and able to remain calm and professional when managing a busy workload. You will ideally have at least one year's experience within a private medical practice. However, we would also be interested in hearing from candidates with at least one year's experience in a high-end customer service or hospitality environment where delivering an exceptional customer experience has been central to the role. You will have:

What we're looking for
The successful candidate will understand that reception is about much more than answering phones and booking appointments. You will be an important part of the patient experience, ensuring every patient receives a professional, efficient and personalised service. You will be comfortable dealing with a variety of enquiries and situations, able to think on your feet and confident in managing challenges as they arise. You will also be able to communicate calmly and compassionately with patients and colleagues, even during busy or high-pressure periods.
Working hours
This is a full-time role working 40 hours per week. The Clinical Trials Department operates a shift-based working pattern, with typical shifts including:
- 08:00-17:00
- 09:00-18:00
- 10:00-19:00
Each shift will normally include a one-hour lunch break.
