The predicted salary is between 36000 - 60000 £ per year.
Due to continued growth, our friendly, successful, and professional financial services client is looking to recruit an Administrator to join their team. They are happy to look at all levels of experience but they are seeking St James Place experience.
Key Duties (Depending on level of position could include)
- Maintain effective diary system to ensure clients are offered review meetings at the appropriate time.
- Contact clients and book review meetings.
- Confirmation letters/emails to be sent to clients.
- Prepare meeting packs for Advisers including valuations and all other relevant documents required.
- Monitor / chase for the return of meeting notes uploaded to One Note by Adviser and ensure that client meeting notes are recorded on the system.
- Construct appropriate post meeting letter for issue to clients from Adviser notes.
- Meet & Greet Advisers clients’ when meetings are held onsite. Ensure welcome screen is displayed in reception and guests sign into the Visitors Book.
- Send off any Letters of Authority brought back from client meetings and record in working spreadsheet ensuring information is chased as required. Keep Adviser updated of progress throughout.
- Make Adviser aware of documentation received in relation to their clients and provide general support as required.
- Act as a point of contact for clients and deal with routine issues/queries.
Senior Administrator:
- Preparation of meeting packs to complete reviews and presentation meetings when signing up new business.
- Preparation of Post Meeting Letters.
- Completion of fund switches and creating relevant paperwork.
- Completion of performance charts for use in presentation meeting packs.
- Completion of protection comparison reports, quotations, and processing applications.
- Collation of relevant information, either via file note or in writing, ensuring all relevant information received.
- Booking of Drawdown Reviews ensuring State Pension Forecast received prior to meeting.
- Completion of trust forms in line with guidance and support resources.
- Take lead on new admin-related projections that become relevant.
- Input of data on relevant cashflow modelling systems to assist CEO with case construction.
- Undertake all tasks relating to the PA role when required to provide holiday/sickness cover, etc.
- Onboarding calls to new clients to discuss the services we offer.
- Completion of any other administration duties as required.
Skills & Experience:
- Proven track record in a financial services Administrator role.
- SJP experienced.
- Ability to work under pressure of tight deadlines to ensure company SLAs are met.
- Strong interpersonal and team skills.
- A keen eye for attention to ensure case/business errors are mitigated.
- The ability to self-develop and show initiative by researching solutions independently.
- Ability to change and adapt swiftly as business needs alter.
- Skilled in usage of IT systems such as Word, Excel and PowerPoint.
- Professional telephone manner and strong communication skills (both written and verbal).
Other Information:
- The hours are Monday – Friday 9am – 5pm – 35 hours a week.
- Holidays – 25 Days Holiday, plus Bank Holidays and if your birthday falls on a working day you are given the day off.
- Other benefits include: Company Pension, Two Staff days out per year, Private health scheme after 1 year service, Bonus paid annually, subject to the Business target being met.
- There is a hybrid working pattern available rotating 3 days in the office 2 days WFH and 2 days in the office 3 days WFH.
