Swayne & Partners is a well-established group of four small animal veterinary practices in Suffolk. The four practices work hand in hand, providing exceptional care to their clients and patients, with day surgeries at each branch. Bury St. Edmunds is the largest branch, providing out-of-hours and emergency care 24-hours a day and 7 days a week.
The Client Support Administrator is responsible for ensuring that the client experience is of the highest quality, ensuring that engagement with clients is friendly, supportive, and highly professional. The Client Support Administrator will ensure that appointments are made promptly, payment is taken, and that high front of house standards are maintained.
Job Responsibilities:
- Maintain a high standard of cleanliness in the reception area, greeting clients warmly as they arrive and as they call the clinic.
- Proactively contact clients to rebook missed appointments, follow up on unactioned estimates generated.
- Take payment at the end of every consultation in line with Company policy, and book follow up appointments where necessary.
- Develop clients' understanding of the Kin Vet Community Health Care Plan.
- Ensure that client details are up to date on all files, including insurance details, emails, contact details and patients' weights.
- Drive compliance with managing insurance claims in line with Company policy.
- Ensure that Kin Vet Community Debt and Insurance policies are always followed.
- Ensure that appointments are made promptly and that practice diaries are filled.
- Respond to incoming practice emails in a warm and timely manner.
These responsibilities are non-exhaustive, and the role may involve additional reasonable duties.
