Key Responsibilities

  • Group Logistics Management: Manage all components of group travel, including room blocks, flight manifests, contracted dining, and private transfers for groups ranging from 10 to 100+ travelers.
  • Vendor and Contract Negotiation: Communicate directly with hotels, cruise lines, airlines, and ground operators to secure optimal group rates, contracts, and concessions, maximizing value for the client's budget.
  • Financial Oversight: Monitor group payment schedules, manage room attrition deadlines, track commission statements, and process payments accurately within defined deadlines.
  • Client Relationship Support: Act as the primary liaison between the group leader and suppliers, providing professional updates, handling group reporting, and assisting with individual traveler inquiries (e.g., specific room requests, pre-trip documentation).
  • Documentation and Compliance: Ensure all group files, contracts, passenger details, and insurance documents are meticulously organized, accurate, and compliant with all travel regulations.
