Reports to: Client Relationship Manager
Days of Work: Mon – Fri
Hours of Work: 8:30am - 5:30pm

Work under the supervision of the Client Relationship Manager to support the Conveyancing Department in delivering a high level of customer service to clients. This role will involve initial contact with potential clients, selling our services and providing quotes, onboarding clients and opening files. You will be responsible for providing regular updates to clients and third parties and actively assisting them throughout their transaction to ensure high client satisfaction. In addition, the role will involve maintaining and developing relationships with the firm’s partnership panel members and referrers, obtaining new service providers and referrers, and making appropriate referrals to approved service providers to support client needs and enhance the overall service offering.
Key Responsibilities
- Initial contact with clients following an enquiry regarding our services.
- Sell the firm’s conveyancing services and provide accurate quotes.
- Build and maintain strong, long-term relationships with clients.
- Open conveyancing files and onboard clients in line with compliance procedures.
- Efficiently and proactively communicate with clients and third parties, providing regular updates.
- Identify and address any potential client dissatisfaction.
- Collaborate closely with the Conveyancing Department to deliver a seamless service.
- Maintain accurate and up-to-date records on the Case Management System.
- Monitor internal systems to ensure cases are progressed efficiently.
- Effectively liaise with relevant departments within the firm.
- Maintain and develop relationships with existing partnership panel members and referrers.
- Assist with onboarding new service providers to the firm’s partnership panel.
- Make appropriate referrals to approved service providers where suitable, ensuring a positive client experience.
- Act as a key point of contact for partnership panel members and referrers, ensuring strong ongoing relationships.
- Adhere to all company policies and procedures.
Person Specification
The ideal candidate will be capable of selling our conveyancing services to clients and confidently promoting the firm and its partner services. They will be able to build and maintain strong relationships with clients, referrers, and partnership panel members, acting in a friendly and professional manner while tailoring their approach to suit individual needs. They will be confident communicating via email, telephone, and in person, and will proactively assist the Conveyancing Team by keeping clients informed throughout the progression of their matter to ensure a high level of customer satisfaction. The ideal candidate will have excellent organisational skills and be able to autonomously manage their workload, ensuring regular contact with clients, referrers, and service providers.

- IT skills: Most work is carried out electronically.
Knowledge – Essential
- Understanding how to use MS Office.

- Legal terminology, regulations and HM Land Registry system, although full training will be given.
- Ability to work with legal technology (HM Land Registry filing, computer systems, transcription software, Dictaphone etc)
- Understanding of the conveyancing process.
