We are looking for a highly organised and commercially minded Merchandise & Production Coordinator to support the end-to-end product lifecycle across DTC and wholesale channels.
This is a hands‑on role combining merchandising, stock planning, production coordination, supplier management, and administration to ensure products are delivered on time and trading opportunities are maximised.
The role requires someone who is equally comfortable analysing sales data as they are picking up the phone to suppliers, chasing production updates, placing repeat orders, and resolving issues quickly.
You'll play a key role in keeping products moving through the business, reacting quickly to trading performance, and ensuring launches and deliveries stay on track.
This is a fast‑paced position where initiative, attention to detail, and a proactive approach are essential.
Key Responsibilities
- Manage and maintain the WSSI, monitoring sales performance, stock availability, intake, sell-through and margin.
- Review daily and weekly trading performance, identifying opportunities and risks and recommending appropriate actions.
- Monitor bestsellers and slow-moving products, placing repeat orders quickly where required and highlighting markdown opportunities.
- Support the management of the Open-to-Buy (OTB), seasonal buying plans, and trading reviews.
- Produce weekly, monthly and seasonal trading reports with clear commercial insights and recommendations.
- Forecast sales, stock levels and intake to support trading performance and maintain healthy stock levels.
- Conduct post-season analysis to identify key learnings and improve future range planning.
- Analyse pricing, costs and margins to support commercial decision-making.
- Monitor competitor activity and customer trends to help inform trading decisions.
- Be the day-to-day point of contact for suppliers, proactively chasing production updates, confirming delivery dates and ensuring deadlines are met.
- Place repeat orders promptly in response to trading performance and stock requirements.
- Monitor production critical paths, identifying delays early and escalating issues where necessary.
- Build strong supplier relationships while confidently following up outstanding actions and ensuring commitments are delivered.
- Support supplier negotiations with cost analysis and margin impact assessments.
- Ensure production updates are accurately reflected across internal trading plans and systems.
Stock Planning & Inventory Management
- Coordinate stock allocation and replenishment across ecommerce and wholesale channels.
- Monitor inbound shipments, warehouse deliveries and intake against trading plans.
- Identify overstock and understock risks and support actions to rebalance inventory.
- Maintain accurate product data, including SKUs, barcodes, cost prices and product information across systems.
- Manage pre‑order allocations and ensure product availability is accurately reflected where required.
Wholesale Support
- Process wholesale orders and maintain accurate pricing and margin information.
- Liaise with wholesale customers regarding order confirmations, delivery schedules and repeat orders.
- Monitor wholesale stock levels, cancellations and returns, highlighting risks and opportunities.
Cross Functional Collaboration
- Work closely with Design, Technical, Logistics, Finance, Ecommerce and Marketing to ensure products launch on time.
- Coordinate product information, delivery schedules and launch dates across departments.
- Prepare reports, product information, samples and documentation for buying meetings, trade appointments and showroom activities.
- Support the wider Product team with administrative tasks to ensure the smooth day-to-day running of the department.
Skills & Experience Required
- Previous experience in merchandising, production coordination, buying, or a similar product-related role within fashion or retail.
- Strong commercial awareness with the ability to interpret sales data and make practical recommendations.
- Experience working with WSSI, OTB, forecasting or stock planning.
- Advanced Excel skills, including Pivot Tables, XLOOKUP/VLOOKUP, SUMIFS, INDEX MATCH and reporting.
- Confident analysing large datasets to identify trends and opportunities.
- Experience coordinating suppliers, production timelines or critical paths.
- Excellent organisational skills with the ability to manage multiple priorities and deadlines.
- Strong communication skills with the confidence to build relationships, follow up proactively and challenge suppliers when necessary.
- High level of accuracy and attention to detail.
