The Office Coordinator is the first point of contact for employees, visitors and vendors entering the London head office. This role ensures that the office runs smoothly day to day – maintaining a professional, welcoming reception and supporting an organised, safe and engaging workplace environment that reflects the Keywords culture. The ideal candidate is proactive, reliable and people-oriented, with a strong sense of ownership over the office experience. The role will also provide operational support to Liquid Violet, our Covent Garden studio, assisting with vendor coordination and facilities-related tasks as required.

Key Responsibilities
  • Operate the reception area, greeting visitors, managing deliveries and maintaining a professional first impression of the studio.
  • Act as the main point of contact for employees working in or visiting the London office.
  • Support the coordination of on-site events and activities that contribute to a positive and inclusive studio culture.
  • Maintain an organised, tidy and well-presented workspace including meeting rooms and communal areas.
  • Liaise with building management and external vendors (cleaning, maintenance, catering, security etc.) to ensure smooth daily operations.
  • Support the Liquid Violet studio in Covent Garden with vendor coordination and facilities-related tasks as needed.
  • Log and track facilities requests, ensuring issues are resolved quickly and efficiently.
  • Manage office supplies, deliveries and service schedules in line with budget and quality expectations.
  • Support the UK Facilities & Leasing Manager in implementing consistent facilities standards across UK sites.
  • Manage employee and visitor access cards, ensuring records are up to date and systems secure.
  • Assist in enforcing health, safety and security procedures including emergency protocols.
  • Coordinate with IT and building management to maintain access systems and resolve any issues.
  • Help foster a positive office culture across both our London Head office and Liquid Violet space by assisting with team events, celebrations and communications.
  • Act as a friendly and approachable presence in the office, encouraging collaboration and supporting employee engagement initiatives.
Qualifications
  • 2+ years’ experience in office coordination, reception or facilities administration.
  • Strong interpersonal skills and a customer-service mindset.
  • Excellent organisational and multitasking abilities with attention to detail.
  • Confident communicator – both written and verbal – able to liaise professionally with all levels of the organisation.
  • Proficient with Microsoft Office or Google Workspace and quick to learn new tools (e.g. ticketing or access management systems).
  • Awareness of health, safety and security procedures in a corporate environment.
  • Proactive, dependable and adaptable – able to work independently and take initiative.
