Based in Swadlincote, Derbyshire, the Design Team Co-Ordinator supports the Design Team Manager and senior team members in ensuring the smooth and efficient day-to-day operation of the design department. The role provides administrative and coordination support, including the allocation of design enquiries and the preparation of weekly departmental performance reports as well as other administrative tasks.
Responsibilities and Duties- Be an advocate of Health & Safety in the workplace, displaying excellent personal safety and challenging others when unsafe behaviour is observed.
- Demonstrate a commitment to the values of the organisation.
- Carry out other tasks as deemed necessary, which are within the job holder’s capacity.
- Review and allocate new enquiries to Design Engineers to achieve business OTIF.
- Assist in managing daily office activities and workflows.
- Deliver excellent customer service by ensuring the team are honouring service commitments.
- Organise and chair meetings, weekly reports, internal and external communications.
- Provide administrative support to management and team members.
- Assist with onboarding new employees (workspace setup, documentation, orientation support) and ongoing training.
- Help ensure office policies and procedures are followed.
- Support audits and compliance checks when necessary.
- Compliance to GW2/ BSR – Competency Statements.
- Be able to operate and thrive in a high pace environment.
- Assist the Design Manager in planning workloads and prioritising design resources.
- Maintain accurate project records, including drawings, calculations, approvals, and revisions.
- Diploma or bachelor’s degree in business administration or related field (preferred).
- 2–4 years of experience in an administrative or office coordination role.
- Good understanding of technical drawings is preferred.
- Good understanding of ISO9001.
- Competent in Microsoft Office and document management systems.
- Excellent communication skills, both written and verbal.
- Strong attention to detail and accuracy.
- Be an effective team player, committed to high quality output and excellent customer service.
- Self-motivated with initiative to progress activity and ability to manage own workload.
