The predicted salary is between 24.68 - 26.62 £ per hour.

The role will suit someone with a high degree of flexibility over the next 8 months. The projected hours required will begin at 7 minimum per week, move to 14 minimum and then for the last 2 months require 35 hours per week. The successful candidate will have significant experience in event delivery, organisation and budget management. You will have demonstrated a high level of customer service skills and be able to work independently. Experience working in Higher Education is an advantage but not essential. References will be taken up on appointment and a DBS check will be arranged. Pay per hour ranges from £24.68 to £26.62 depending on skills and experience.

Job Purpose and Duties:

  • To lead on the organisation of a large, three-day conference (13-15th April 2027) held at King's College London and support staff within the Centre for International Education & Languages (CIEL) with the organisation of a number of smaller events and engagement activities (in-person, hybrid and online) across CIEL.
  • Working closely with Head of Operations and Head of Scholarship, CPD and Digital Education this role will lead on coordinating all aspects of the three-day conference including catering, AV, room set up, security, online and social events etc and liaising with service providers across KCL to ensure that the conference runs smoothly, and all aspects are delivered.
  • The role will support the conference Steering Group and Organising Committee with the conference programme, manage the conference budget and speaker and attendee liaison.
  • The role will also liaise with the conference organisation BALEAP to ensure KCL complies with BALEAP guidelines.
  • This role is available from 14th September 2026 to 30th April 2027. The hours are variable across the length of the contract.
  • The role is hybrid and can for the majority of the time be carried out fully remotely, but we expect the role holder to be able to travel to London occasionally to support in-person CIEL events and to be on site in the immediate lead up to and during the BALEAP conference in April 2027.

Key Responsibilities:

  • Processing enquiries, bookings and speaker requirements for events.
  • Overseeing logistics of event planning such as room booking, AV, catering, speaker travel and accommodation.
  • Supporting promotional activities and facilitating the production of events materials.
  • Providing administrative support to the conference organising committee and related working groups.
  • Managing conference budget and advising Steering Group, Organising Committee and BALEAP on any budget variances.
  • Tracking attendance and feedback to ensure continuous data collection.
  • Recruiting and supervising Student Events Assistants.
  • Providing advice and expertise on logistical considerations (e.g. risk assessments, inclusivity, health & safety; booking and registration processes, catering, liaison with King’s Venues etc) best practice, and evaluative processes for events and engagement activities.
  • Support CIEL staff with the organisation of smaller CIEL events (Scholarship Day, ad-hoc workshops etc).

Experience, Skills and Qualifications:

  • Proven organisational skills, with the ability to manage multiple events simultaneously, prioritise workloads, and meet competing deadlines.
  • Significant experience in event organisation, including planning, logistics management, budget management and delivery and evaluation.
  • Strong problem-solving skills, with the ability to anticipate issues, assess situations quickly, and implement practical solutions.
  • Excellent customer service skills, with a proactive and solutions-focused approach to delivering a client-focused experience.
  • Ability to work both independently and collaboratively, demonstrating initiative while also contributing effectively as part of a wider team.
  • Excellent attention to detail, with a commitment to accuracy and delivering consistently high-quality outcomes.
  • Understanding of Health & Safety regulations, including experience in undertaking and reviewing risk assessments relevant to event delivery.
  • Desirable - Experience working in the Higher Education sector.
  • Desirable - Hospitality/Event Management/Tourism degree or equivalent.
